The Operations Director is a full time exempt position reporting to the Executive Director. The Operations Director is responsible for the day to day operations of the organization, specifically that of finance, human resources, technology and facilities. The Operations Director creates a strong organizational foundation that allows RC to achieve its mission and ensures its long term sustainability.

 

Primary Roles and Responsibilities

Human Resources (30%)

  • Manage Human Resources work
  • Work with accountant to ensure payroll is done accurately and on-time
  • Manage health care administration, oversee benefits information, distribution and annual contract renewals
  • Develop and implement best practices and processes for hiring, on-boarding, exit interviews, benefits, compliance
  • Oversee annual staff evaluation process
  • Investigate and manage HR issues that arise within the organization
  • Work with consultant to update compensation philosophy every 1-2 years
  • Ensure RC Employment Handbook is updated regularly
  • Maintain and update employee personnel files
  • Identify and set up annual schedule for staff trainings
  • Support Department Managers in use of Professional Development funds for each employee

 

Financial Oversight (35%)

  • Provide fiscal management support under the direction of the Executive Director
  • Staff the Board Finance Committee
  • Approve, code expenses and sign checks
  • Provide monthly financial reports and metrics to the Finance Committee and Board
  • Manage contract with accountant and supervise bookkeeping functions
  • Manage finances of fiscally sponsored organizations
  • Oversee and continuously improve system of financial controls
  • Ensure compliance with calendar of fiscal and legal obligations
  • Assist with development of annual budget with the Executive Director
  • Provide program level budgets and other collateral financial data, as needed

 

Facilities Management and Office Operations (20%)

  • Monitor internal capacity issues as organization grows
  • Ensure maintenance of physical workspace
  • Deal with issues related to current and potential future lease
  • Facilitate organizational Safety Team
  • Work with Office Manager and IT consultant to monitor and implement on-going technology improvements
  • Manage Clean Hands Collective project
  • Manage annual Resource Guide updates, printing and distribution
  • Manage special projects under the direction of the Executive Director

 

Leadership and Administration (15%)

  • Hire, train, and supervise Volunteer Manager, Office Manager, interns, volunteers and vendor leaders; actively support employee growth and development and conduct evaluations
  • Participate on Leadership Team 
  • Participate in executing RC’s strategic planning goals and objectives
  • Serve on at least one cross-departmental committee 
  • Ensure organizational “go kit” is complete and up to date
  • Other activities as assigned

 

Required Skills:

  • Ability to bring an anti-oppressive lens to all parts of this work, with a willingness to keep an open mind and continually self-educate
  • Ability to understand and interpret financial reports and generate data related to financials
  • Ability to lead Human Resources department; Listen, support, hold accountable, mentor staff; understand and implement legal obligations related to human resource management
  • Ability to negotiate and manage contracts with vital external partners; navigate risk levels and ensure the wellbeing of the organization in those relationships
  • Ability to bring groups together to facilitate projects, use creativity to overcome obstacles and ask for help when needed 
  • Computer proficiency to use financial management database and other office technology
  • Ability to set and track organizational performance metrics and goals
  • Ability to collaborate with others using patience, active listening, and respect
  • Ability to make decisions and bring others along with a decision that isn’t popular
