About the Organization
Change for Kids (CFK) is a child-centered youth development nonprofit whose mission is to create opportunities for kids so that they can overcome inequity. We believe opportunities create options - one cannot dream what one has not seen. We believe that creating opportunities for young people allows them to see themselves with different options, through different lenses. This affords them the tools to reimagine their own possibilities and the tools with which to overcome inequity. Opportunities to engage students in enriching activities, interact with positive role models, and develop a curiosity for learning that fosters engagement promotes an alternative glimpse into the future - allowing youth to reimagine what is possible and realize their potential.
CFK began in 1994 as a grassroots movement dedicated to transforming New York City’s public school education landscape. What began as a bridge between passionate individuals seeking change to public elementary schools in need of resources has grown to a full-service youth development organization dedicated to creating opportunities for kids during and after school so they can overcome inequity.
Through partnerships with public elementary schools and mission-aligned community-based organizations, CFK provides access to intentional experiences, critical resources, in-school support, and inspiring role models targeted at increasing developing students’ social-emotional skills and self-agency. Currently, CFK partners with 13 public elementary schools across all five boroughs and engages approximately 5,000 school-aged children per year. For 25 years, CFK has worked tirelessly to meet the needs of students; CFK will be piloting work in building agency in young people, and is excited to jump into its next quarter-century of impact.
The Senior Director of People and Operations oversees and manages all aspects of the Operations Department at Change for Kids. The SDPO manages special projects and leads key initiatives within the Ops department, resolves complex issues that require executive leadership and direction, supports the deliverables of the Senior Leadership Team, and ensures that expectations and deadlines are clearly communicated and met. The SDPO is not only administrative, but also highly strategic and facilitative requiring focus and flexibility. The SDPO is an individual who is resourceful, diplomatic, analytical and emotionally intelligent. The SDPO will lead development of processes and procedures to strengthen internal capacity and advance Change for Kids’ commitments and purpose, as well as streamline operational procedures - both business practices and human resource practices. Through exceptional leadership, the SDPO is a resource for both staff and external stakeholders, and is responsible for creating an environment that encourages critical thinking, accountability, communication and efficient management of core initiatives.
Project Analysis and Orchestration:
- Relating to projects or commitments directly involving the ED, his direct reports, other staff, and operations.
- This responsibility primarily focuses on ensuring alignment among the often disparate stakeholders and, when such alignment is absent, sharing this fact with the ED and recommending mitigating approaches.
- The SDPO will need to understand the breadth of the projects/commitments within the ED’s purview as well as organization wide
- The ED and SDPO will agree in advance on the schedule of projects requiring SDPO involvement. Diplomacy and persistence are essential skills to effectively execute this dimension of the role and will ensure good judgment to determine “going deep” on a relatively limited number of projects.
Independent leadership of special ED-initiated projects
- SDPO will work on independent initiatives ranging from written products to convening thought leaders on various topics. While the vast majority of ED-initiated projects will reside among the executive team and their staff, some confidential or time-sensitive issues will need to reside within the office of the ED and be led by the SDPO and the ED.
Issue Identification and Triage
- Proactive identification of issues that could impact the successful execution of the ED’s commitments and/or organizational success
- This responsibility involves elevating issues about which the ED should be aware and framing/positioning ideas to resolve the problem/mitigate the risk. This is among the most challenging aspects of the job and will require the SDPO to focus on the underlying interests of the parties working with the ED, understand their intentions, and creatively identify alternative means of handling pressing issues.
- Support the senior team’s communications with the ED. The SDPO will support the needs of the executive staff in their ability to raise critical issues with the ED and receive needed responses, guidance and decisions. The SDPO will help facilitate decisions the executive staff need on receiving feedback on from the ED.
Relationship Management and Communication
- In conjunction with senior departmental leadership, manage partnership relationships, vet partnership opportunities, suggest prospective partners and proactively mitigate partnership concerns
- Manage all consultant relationships, including the process or review, renewal and constant communication - up to and including Information Technology, Human Resources, Systems Analysis(Salesforce) and Grants.
- Serve as liaison between staff, senior leaders and ED, regarding company climate, employee well-being, project updates, proposals, and planning
- Build and develop relationships with employees for increased efficiency and effective responsiveness into existing operations, and help to define new operational strategies, working with ED and senior leaders on special projects
- Serve as a subject matter expert on operations tactics and human resources, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications
- Development of draft communication on behalf of the ED and/or research in support of these
- The SDPO should also be able to accurately reflect the ED’s position in internal meetings to help drive understanding of his views, though the role does not entail devolved responsibility to act for the ED unless so specified
Office and Operations Management
- Manage all office equipment and logistics
- Manage facilities (liaise with external service providers and internal management)
- Procure and maintaining office supplies and equipment
- Support personnel for office needs
- Ensure vendor management processes and relationships are well maintained and executed
- Control file organization
- Handle incoming and outgoing mail
- Provide support for the Executive Director (and other senior staff as necessary) for scheduling, travel and knowledge capture
- Answer phone and greet guests; respond to and route general email inquiries.
- Oversee ordering and purchasing for programs, offsite events, and other needs.
- Develop and maintain accuracy of Employee Handbook, Operations Manual, Human Resources Manual, and Financial Controls Manual for organizational scaling and policy review.
- Maintain Human Resource files
- Work with the Executive Director to develop and implement personnel policies and procedures
- Manage employee payroll, consultant contracts, and 1099 reporting
- Admin for Justworks (PEO system)
- Ensure CFK is in compliance to all state and federal laws, policies, etc
- Main point of contact for employees for benefits questions (Health, Transit, HSA, 401k, etc.)
- Onboard all new employees to all of our systems, policies, practices, etc.
- Work with CFK’s Finance Director to ensure accuracy of financial records; in addition, manage receivables, payables, and bank reconciliations
- Adhere to the budget set for the department and track expenses
- Work with members of Senior Team on a monthly basis to manage their departments’ monthly budgets
- Working with CFK bookkeeper regarding receivables, payables, and bank reconciliations.
- Update financial spreadsheet weekly in conjunction with development department
- Manage audit process and firm
- Deposit and process all cash, receipts, and donations to CFK.
- Admin for finance accounts
- Track and send all payroll, benefits, and billing reports to Finance Director as requested
- Admin and main point of contact for Account Manager for Salesforce
- Admin for Box
- Admin for G-Suite
- Admin for Paypal
- Admin for Justworks
- Admin (primary or secondary) for all online systems
This role provides privileged access to the inner workings of Change for Kids and to highly sensitive information. The successful candidate will be discreet, high-energy, agile-minded, strategic, proactive, a direct communicator who is highly-organized and committed to the vision and values of Change for Kids.
