About the Museum

The Rubin Museum of Art in Chelsea, New York City, explores and celebrates the diversity and uniqueness of Himalayan art, ideas and culture across history and into the present. With its globally renowned collection of nearly 4,000 objects largely centered around the Tibetan Plateau and spanning 1,500 years, the Rubin fosters understanding and appreciation of this region by relating its art and ideas to our shared human experience today.

 The Rubin offers innovative exhibitions and programs that examine provocative ideas across the arts and explore the mind. Through this work, the Rubin serves as a space for reflection and personal transformation, opening windows to inner worlds so visitors can better navigate outer ones.

 The five gallery floors feature several long-term rotating installations drawn from the permanent collection as well as frequent short-term exhibitions that are more broadly conceived.

 Now in its second decade, the Rubin welcomes thousands of visitors and has a growing membership of more than 4,000 households.

 About the Position 

The Operations Coordinator has a broad range of duties that include administrative, technical, manual and clerical tasks. The ideal candidate will have experience in all of these areas, as well as being detail-oriented and a creative problem solver. 

The incumbent’s core hours of work are from 9:00 a.m. to 5:00 p.m. and the weekly schedule will require working four (4) weekdays and one (1) day on the weekends (Saturday or Sunday) with some flexibility as needed.

This is a full-time, non- exempt position reporting to the Manager of Operations.

Responsibilities:

• Patches and paints walls and other surfaces.
• Assembles and installs misc. furniture, fixtures, and equipment.
• Maintains condition of on-site storage spaces.
•  Assists with maintaining departmental records
• Coordinates purchases, payments, check requisitions, and purchase orders for Operations and Facilities departments.
• Distributes catalogs and brochures as requested by various departments.
• Ensures proper signage is displayed throughout public spaces.
• Coordinates large deliveries and shipments.
• Processes outgoing letters and small packages.
• Assists with personnel moves and office furniture relocation, both physically and logistically.
• Sets-up and breaks-down for special events and programs.
• Re-lamps various lighting fixtures.
•  Installs, repairs and replaces ceiling tiles, carpeting/floor materials, and other building finishes.
•  Maintains tools, equipment and similar materials safely and in good order.
• Performs basic operation and maintenance of gallery and office A/V equipment.
•  Occasionally assists Facilities, Security, IT and A/V Depts. as needed with various tasks.
•  All other duties as assigned.
