The Operations Administrator reports to the Executive Director (ED) and is a fundamental role on the CAMP Rehoboth team responsible for bringing both structure and support to a variety of operational needs and functions. This role requires strong project management skills; following through on immediate projects while preparing for longer-term work. The Operations Administrator must be comfortable juggling multiple projects for different people on different timelines, and thinking big while minding all the details. This role will report to and work under the close direction of the Executive Director (ED) on all projects, in addition to partnering with other staff to coordinate operational activities. 

Responsibilities Office & Facilities Administration (30%)

• Manage reception area (greeting in person and on phone) and serve as point of contact for general incoming communication and questions, both in-person and online.

• Receives and distributes incoming mail and packages for 37-39 Baltimore Avenue or supervises.

• Coordinates use of facility by both CAMP Rehoboth sponsored groups and outside groups.

• Maintains CAMP Calendar on website of all CAMP Rehoboth sponsored programs—including, but not limited to, Health and Wellness, Community Meetings, Entertainment and Culture (including gallery), and Outreach (CROP).

• Maintains CAMP Dates listing for Letters to include all CAMP Rehoboth activities plus events from advertisers as known.

• Manage/order office supplies, and coordinate overall organization, appearance, and tidiness of space.

• Oversee the integrity of the Contacts Database, train and supervise volunteers working in Contact module. Maintains Contacts module. Provides lists for Constant Contact updates. • Schedule repairs of facilities and office equipment.

• Establish, maintain, and coordinate relationships with vendors and contractors (utilities, cleaning, maintenance, etc.).

• Maintain the appearance of the front office and desk area. Tidy/set up as needed.

• Troubleshoot facility & maintenance issues and coordinate appropriate support.

• Liaison with Building & Facilities Committee.

IT Point of Contact (20%)

• Serve as first-line support for IT needs and concerns, and coordinate with IT vendors to address more advanced issues, needs, and opportunities.

• Be point of contact for all critical organizational software applications, including, but not limited to, website and CRM (database) system

. • Lead staff on research and adoption of all office automation tools.

• Manage procurement of equipment such as computers and printers as directed.

Volunteer Management (30%)

• Create and manage volunteer recruitment materials and tools.

• Coordinate production and execution of all CAMP Rehoboth sponsored events as assigned by the ED. Production includes securing contracts, insurance and gathering permits for the events, as well as ticket sales and the coordination of volunteers.

• Liaison with Volunteer Development Committee. HR

Administrative Support (10%)

• Assist ED with vendor management and annual benefits enrollment processes.

• Aid ED in annual review of HR policies and compliance requirements. • Support hiring and onboarding processes for new staff.

Programs Administration and Monitoring (10%)

• Support program strategy and planning for capacity.

• Oversee data collection and integrity—collaborate with staff to ensure data integrity for reporting and to support decision making and grant solicitation, and work with team to evaluate data and data collection gaps to ensure effectiveness and efficiency.

Attributes of Success

• At least 3-5 years of experience in operations-based roles and enjoy working on small teams whose members all wear many hats.

• Be solutions-oriented and master at keeping both themselves and others organized.

• View technology as a valuable asset and tool and be comfortable working within a variety of software systems and services.

• Appreciate structure and systems and believe they make the work easier and better. Skills and Requirements to Foster Success

• At least 3-5 years experience in nonprofit operations • Friendly, courteous, and strong customer-service ability

• Excellent communication skills, written and verbal

• Tech savvy and comfort working in a variety of software and online applications • Strong organizational and time management skills

• Ability to work occasional evenings and weekends
