Job Description

LOCATION: Washington, D.C., Mexico, or Colombia

This position is a three year fixed term position.

PURPOSE OF POSITION:

Provide administrative, communications, and programmatic support for Oxfam America’s “Climate Media Collaborative for Economic Justice and Community Rights” project. This project will support communications and campaigning efforts in the Global South, including six geographies across Latin America, Africa, and Asia. The project will use communications to defend community rights and shift economic narratives toward clean energy and post-exploitative economic models, leading to transformational change for frontline communities in the Global South that are navigating the climate emergency and COVID economic recovery. The project aims to leverage the Oxfam confederation’s convening power and communications capacity to support partners and communities pushing for economic justice and community rights. This position will ensure timely transfer of resources to consultants and country and regional offices, track budget spenddown and support budget change process as necessary, provide logistical support for events and activities associated with the project, and support coordination and learning across the countries included in the project. 

This position is a three year fixed term position.

PRIMARY RESPONSIBILITIES:

BUDGET AND FINANCIAL ADMINISTRATION

 Monitor project budget and subgrant budget spenddown and keep team members informed of progress, flagging delays or concerns.

 Handle routine business and financial matters including processing requests for payments, preparing staff expense reports, and maintaining financial records. Prepare consulting contracts and track deliverables and payments.

PROGRAMMING COORDINATION

 Ensure team activities run smoothly by providing administrative and logistical support.

 Plan, organize, and provide follow up support for meetings, events and seminars.

 Provide logistical support for event planning, including online events. Manage special projects (such as public events, internal planning and review sessions) for the teams as needed.

 Manage travel arrangements for visiting partners and advocates (including but not limited to air, hotel, visas and honorarium payments).

 Serve as a link between teams and external vendors.

 Support updates of key internal documents including strategy and planning documents.

 Monitor and document progress towards achieving grant deliverables at the global level and across the geographies included in the grant.

 Perform other administrative and support functions as needed. Respond positively to unexpected and urgent needs.

COMMUNICATIONS SUPPORT

 Support regular reporting of team activities, progress, and learning. Communicate team activities to internal Oxfam and external audiences via web and email.

 Conceive and create appropriate internal and external communication products, such as newsletters and internal blogs, in conjunction with relevant country and public engagement staff.

 Support the development and implementation of strong knowledge management systems for the teams, ensuring efficient availability and dissemination of information products across all staff and geographies supporting the grant.

 Maintain, organize and expand database of external contacts, including country, regional, and global contacts.

 Organize check-in and coordination meetings across the project implementation team.

Qualifications

Education: Bachelor’s degree or an equivalent combination of education, training and experience is required.

Experience and Core Competencies:

 One to three years’ demonstrated experience in results-oriented project coordination, and/or relevant administrative support functions, including database management; account management; and program or communications planning, facilitation, and coordination.

 Minimum two to four years working in for a non-profit organization, PR agency or similarly relevant organization, including experience on internationally focused issues (preferably related to climate and/or natural resource justice).

 Good judgment, initiative and ability to anticipate problems and follow through with confidence.

 Excellent interpersonal and written communication skills and attention to detail.

 Demonstrated ability to effectively organize, prioritize work, handle multiple demands at one time, and meet deadlines in a fast-paced environment.

 Interest in/commitment to international development, environment, human rights and/or social justice issues.

 Familiarity with web and information technologies that facilitate communication and information sharing (listserves, blogs, social media, Zoom, Teams).

 Fluency in Spanish and/or French required.

PREFERRED QUALIFICATIONS:

 Experience with budget tracking and management.

 Experience in meeting and event planning and logistics.

 Experience working as a member of a team that has multiple sites or travels extensively.

 Comfort operating in a multi-cultural, international environment.

 Experience in a non-profit or PR agency setting.

 Experience with policy, communications, or campaigns.
