About the position:  

Reporting to the Senior Director, Events, the Event Promotion and Marketing Manager will play an integral role on the Marketing and Communications team, helping promote and produce print and digital collateral for ~50+ in-person and virtual convenings each year. In addition, the Manager will act as the project manager and the key linchpin between JFF teams (programs, executive office, events, marketing, etc.), event and marketing vendors, and key constituents at partner organizations.  

JFF’s events range in size and scope: from small VIP dinners and 20-person advisory groups to 200-person peer learning institutes and our flagship annual summit of 5000+ attendees. JFF has an outstanding reputation for hosting national convenings - sitting at the intersection of education, philanthropy, government and the corporate business community, JFF has an incredible convening power to innovate and educate. 

The ideal candidate will know how to generate enthusiasm and enrollment by creating compelling audience-centered messaging, will be extremely well organized, possess excellent attention to detail, and have a willingness to “roll up their sleeves” on site where needed to support event execution. Stellar communication skills, creativity, professionalism, and enthusiasm for delivering five-star customer service will distinguish the best candidates.

What you’ll do:  

The principal duties and responsibilities of the position include: 

Event Promotion and Marketing  

  • Create and design registration websites and custom email communications including invitations, reminders and confirmations on various registration platforms, including Cvent, Eventbrite, Bizzabo, etc.  
  • Manage the development of promotional calendars for all events across email and social media channels, in collaboration with the marketing and programs teams.  
  • Manage promotional campaigns to drive live event registration and engagement, and on-demand views of recorded events.  
  • Act as a point of contact for any organization-wide blast email campaigns (Salesforce) and conduct periodic database cleanups.  
  • Generate reports to track event performance, including registration-to-attendee rates, email performance, and audience engagement.  

 Materials and Production  

  • Own the run of show for various events, including the development and distribution of event materials for meeting hosts, speakers, and event staff. 
  • Collaborate with the in-house design team on the production of all event collateral and promotional swag materials produced by JFF’s graphic designers.  
  • Manage the Events calendar on external and internal sites. 

 Event Planning and Coordination  

  • Assist the Events team in the planning and execution of virtual events, external client-facing events and internal meetings from conception to completion.  
  • Organize and facilitate internal meetings with various JFF teams to ensure clear communication and organization.  
  • Develop timelines for events, manage event budget, collaborate with business leads on content delivery, business objectives, etc.  
  • As requested, work with existing and new vendors to order collateral and supplies for events; coordinate the assembly and shipment of event materials. 
  • Distribute materials on site; support the events team in set up/registration, including audio-visual needs, and provide professional customer service to all event participants.  
  • Manage travel and hotel arrangements for VIPs; act as a liaison with JFF’s travel agent.  

 Who you are:  

  • 2-3 years of event marketing experience, particularly in an agile and fast-paced and largely cloud/virtual team environment. 
  • Strong audience-centered communicator, understanding how to communicate both the features and the benefits of an event that help generate interest and enrollments.  
  • Proven technical competency in the development of marketing collateral and content in support of creating best-in-class experiences and events. 
  • Proven success with developing and executing marketing campaigns using Salesforce as well as social media is a must.   
  • Proficiency in event platforms and customer management technology tools, including Cvent (required), Bizzabo, Eventbrite, InDesign, is a strong plus.  
  • Solid proficiency in Microsoft Office Suite, Google Suite, Adobe Creative Suite (HTML/CSS a plus), with an aptitude and interest in learning new software. 
  • Team player who is a self-starter who can multi-task effectively, is calm under pressure, and is comfortable in both leadership and support roles. 
  • Excellent professional writing and verbal communication skills. 
  • Ability to travel up to 25% of the time (Post COVID).
