Examples include, but are not limited to: training and funding for Rwandan widows who are survivors of genocide to start and expand their own businesses; helping a region’s most marginalized tribal group to gain citizenship in Burundi; and providing business start-up funding to bring sustainable sources of income to girls escaping gender-based violence in Tanzania, and for genocide orphans in Rwanda.

Position Overview

The Office Coordinator is a key support role responsible for the day-to-day coordination of African Road’s office. Working closely with the Operations Manager, and providing support to the Executive Director, the Office Coordinator performs functions integral to the nonprofit’s continued success, and interfaces with all aspects of office administration such as some bookkeeping, donor CRM management, and general office functions.

This position is an opportunity to strengthen a growing nonprofit while making a measurable impact on the quality of life for those in Eastern Africa. The ideal candidate has experience working with nonprofits or multi-faceted organizations, and feels a connection to African Road’s work.

We are seeking a candidate who possesses a friendly, warm, professional and supportive demeanor. This candidate will also have the skills to problem solve, juggle multiple tasks and improve the overall efficacy of our office operations.

  • You have experience with database management. Experience with nonprofit administration systems including those pertaining to donor relations, program evaluations, financial reporting, and marketing campaigns are a plus.
  • You are proficient with CRM platforms such as DonorPerfect or other similar platforms; Google Drive; and Excel and MS Office products.
  • You have working knowledge of general bookkeeping and QuickBooks.
  • You are able to take initiative and operate independently yet you have a willingness to collaborate with others.
  • You value working as a member of a team.
  • You value learning and are not afraid to ask questions. 
  • You respect people from a wide range of religious traditions and faith practices, political and philosophical beliefs, and affiliations and backgrounds.
  • You demonstrate timeliness and accuracy, and operate with integrity, joy, patience and kindness.

Essential Functions

Financial:

  • Enters donor data in the DonorPerfect or other CRM database to ensure accurate and timely gift processing and with a value of building connection and creating historical records of donor relationships. It is the Office Coordinator’s job to care for our donor’s information with precision and attention to detail.
  • Prepares various reports in DonorPerfect and Microsoft Excel such as mailing lists and monthly donor information.
  • Coordinates, tracks and consults with the Executive Director to see that donor thank you notes and gratitude campaigns are completed and sent.
  • Responds to inquiries from donors in consultation with the Executive Director.
  • Completes basic financial management duties including remotely depositing checks received, preparing deposit reports, preparing 1099s for any vendors who require them and supporting the Operations Manager with bookkeeping entries.
  • Supports the Operations Manager by managing aspects of the organization’s Accounts Receivable (AR) and Accounts Payable (AP).

Administrative:

  • Serves as the first point of contact for African Road’s U.S. community comprised of partners, donors, funders, volunteers and more. 
  • Completes day-to-day administrative tasks such as filing, processing mail, ordering office supplies, answering and returning phone calls, and other functions necessary for daily operations.
  • Manages Google Drive effectively.
  • Maintains and organizes the organization’s supply room.
  • Coordinates mailing projects to donors and volunteers and ensures that they are completed in a timely and accurate manner.
  • Supports the Executive Director in preparing reports when needed.
  • Proofreads and edits a variety of documents such as reports, grant applications, and letters to donors. 
  • Tracks and completes annual filings and all other inquiries from the State of Oregon and the Internal Revenue Service (IRS).
  • Helps coordinate the organization’s wonderful interns and volunteers.

Programs and Events:

  • Assists with event coordination including support for planning, tracking registration and sponsorships; assistance with setup, tear down and transporting event supplies/equipment.
  • Assists with coordinating and tracking fundraising events.

Other tasks as assigned; the above list is non-exhaustive.

Applicant Qualifications

  • 3+ years of successful work experience performing many of the functions outlined in this position description.
  • Working knowledge of basic bookkeeping principles; proficiency with QuickBooks is a plus.
  • Passion for being part of a team working in relationship with East African leaders who are creating structural and systemic change.
  • Experience using a CRM platform such as Donor Perfect. 
  • Proficient with Mac and PC, Google Drive, Office Suite, Excel; experience using WordPress is a plus.
  • Excellent organizational and administrative skills; loves organizing!
  • Superb written and verbal communication and proofreading and editing skills.
  • Personable attitude and authentic integrity.
  • Ability and willingness to work occasional evening and weekend hours as needed for events and other important deadlines.
