General Summary of Position:

The Professional Development Manager works collaboratively with all NASPA staff, leading the coordination of workshops, institutes, and conferences. This entry-level professional serves as a key component in the planning and execution of all program operations, supporting NASPA’s in-person and online programmatic efforts, conferences, and events.  

The successful candidate will be experienced in multiple projects at various stages of completion and will be able to work independently. This person must be exceedingly well organized and have acute attention to detail, be flexible, team-oriented, and enjoy working in cross-departmental, interdepartmental teams to support successful workshops, programs, and institutes.

Specific Responsibilities of the Position

This individual will work closely with the program lead and cross-departmental teams to plan and execute NASPA conferences/workshops and other services with duties. Responsibilities include but are not limited to:

●      Work in tandem with lead programmers to execute all with logistical components of planning and executing a conference which sometimes includes serving on planning committees;

●      Create and maintain in-person and virtual program event websites, call for programs, mobile applications, and event registrations in a variety of web-based platforms;

●      Assist with the planning and execution of NASPA’s call for programs and/or application processes. This can include: recruiting and assigning program reviewers, actively maintaining reviewer or applicant lists, assessing participant or reviewer eligibility, and assisting with the selection process of programs;

●      Execute logistical components of conferences including, but not limited to: speaker coordination, reimbursements, communication with participants and presenters, oversight of video pre- and post-production, and in-person logistics;

●      Play a key role in developing and executing engaging attendee experience opportunities at NASPA in-person and virtual events;

●      Liaise with marketing and communications around promotion, production, and printing needs;

●      Create and improve system processes and procedures to maximize efficiency and consistency;

●      Design and edit program materials (i.e. invitations, images, templates, lists, name badges, slide decks, and program books);

●      Provide excellent internal and external customer service and support through the management of shared NASPA inboxes and serving as a point-of-contact for NASPA’s professional development inquiries; and

●      Participate in departmental, divisions, and organizational strategic planning, meetings, internal committees, and projects.

Qualifications:

●      Bachelor’s Degree preferred. High School/GED Required.

●      Advanced proficiency with MS Office, including Word, Excel, PowerPoint and Outlook.

●      Superior writing, communication, and project management skills.

●      Strong organizational skills, with the ability to establish priorities, manage multiple demands and projects, and meet deadlines.

●      Ability to take initiative, use sound judgment, resolve problems diplomatically and discreetly, and work effectively, independently, and cooperatively with all levels of staff and constituents.

●      Exceptional interpersonal skills with the ability to build relationships inside and outside the organization with stakeholders, customers and colleagues.

●      Flexible, with the ability to multi-task and frequently adjust to changing priorities and timelines in a fast-paced working environment. Ability to work under tight deadlines with short turnarounds.

●      Demonstrated ability to think strategically, delegate responsibility, listen carefully, build consensus, communicate and advocate effectively in a complex matrix organization.

Your application will be prioritized if you have the following attributes or experience:

●      Experience with Photoshop, InDesign and Illustrator;

●      Experience editing video and audio;

●      Experience with website development, graphic design for the Web, basic HTML Experience with writing for the web; and

●      Excellent writing or editing skills and a strong attention to detail.

Office Location/Working Conditions/Physical Requirements

This position is located in the NASPA Washington, D.C. Office with the option for occasional work from a remote location. This position will be required to routinely pack program materials for shipment, including moving potentially heavy boxes. Moderate, overnight travel to NASPA events is expected during which the position may be expected to complete set-up and stand for longer periods of time than usual, traveling by air and ground transportation. Currently, the physical office is closed due to the COVID-19 pandemic and all employees are working remotely.
