Caipirinha Productions, an independent mixed media company active in the fields of film, music, and human rights, is currently seeking a full-time Director of Operations/Team Manager. This is a management-level position that would be responsible for leading a team of 3-5 administrative staffers, directing overall operations of the office, and ensuring quality control of the work produced. The team manager will act as the liaison between the director of the organization and the office staff, with the goals of providing team leadership, effectively delegating tasks, managing deadlines, motivating and developing team members, and mediating intra-office conflict. The manager will also help to coordinate consultants, volunteers, and other support staff as need. 

Overall, the responsibilities of team that the Director of Operations/Team Manager will be leading include:

-assisting with logistics and scheduling of international film shoots, interviews, meetings, post production and press for director

-document collection (independent contractors’ agreements, contracts, waivers, production release forms, W-9s, etc)

-research and booking of international travel arrangements for director, crew, and collaborators (visas, flights, hotels, transportation, etc)

-film outreach & marketing: booking our films at film festivals, events, universities and via community organizations

-assisting with communications via website & social media updates; monthly newsletter campaigns

-personal assistance to director, helping with doctor’s appointments, correspondence, errands, travel plans, calendar management, etc

-accurate data entry

The Director of Operations/Team Manager will work to ensure that the above tasks are being executed accurately and efficiently, will anticipate and resolve problems before they get to the director, will advise on appropriate staffing levels needed to complete desired projects, and will help to find, train, and maintain talented staffers to carry out the office's work.

Additional responsibilities of the Director of Operations/Team Manager include:

-purchase & approval of all expenses; ensuring that all items are invoiced and paid on time; contract management and price negotiations with office vendors, service providers and office lease; oversight of IT, office systems and equipment functionality

-working with bookkeepers to approve, verify and complete accounting tasks such as reconciling monthly business expenses via credit card statements, approving wire transfers, invoices, petty cash expenditures and Paypal payments

-management of distribution contracts and royalties; monitor and track all film-related sales and royalty income

-streamlining of office processes by ensuring operations and procedures are organized efficient and clearly communicated, correspondences are controlled, filing systems are designed, etc

-assisting with year-end tax documentation collection, recording, and delivery to accountants

-familiarity with sister grantmaking foundation, foundation projects and the grantmaking process

Other desired qualities include:

-accuracy and strong attention to detail 

-experience, talent, and passion for overseeing logistics

-superior communication skills, including excellent writing abilities

-familiarity with spreadsheets, databases, and data entry

-comfort with social media and marketing platforms

-the ability to manage multiple projects at once and to adapt to a wide variety of tasks

-the ability to handle a high volume of email correspondence

Level of Language Proficiency
