JOB TITLE: Assistant, Office of the President

REPORTING TO: Chief of Staff to the President

LOCATION: Ideally New York, Washington, DC., will be considered

JOBS SUPERVISED: None

ASSIGNMENT LENGTH: Indefinite

POSITION SUMMARY: The Assistant will provide administrative support to the Population Council’s President and Chief of Staff, as well as select members of the Executive Team. This individual will be responsible for managing the President’s schedule and travel, coordinating meetings and preparing minutes — including for the Executive Team and Board of Trustees, drafting communications, disseminating information, and supporting high-level events. This individual serves as a key point of contact for internal and external colleagues in collaboration with the Chief of Staff. The ideal candidate is a proactive problem-solver with exceptional communication skills, meticulous attention to detail, and the ability and desire to work in a high volume environment on a variety of tasks. 

RESPONSIBILITIES: 

1. Manage President’s schedule; critically assess the priority of different obligations, communicate appropriately with high profile people, and handle last minute changes as needed.

2. Provide administrative and logistical support to the President, Chief of Staff, and select members of the Executive Team including arranging complex, international travel itineraries; preparing expense reports, and processing purchase orders and payments. 

3. Support preparation for and follow-up from regular meetings of the Executive Team: schedule meetings, collate and circulate agendas and papers, draft minutes, and produce and monitor action items.

4. Serve as a key point of contact for requests to the Office of the President: screen calls; ask questions to determine priorities, ensure the collection of relevant information for the President to make informed decisions, and follow-up to ensure completion.

5. In collaboration with the Chief of Staff, draft meeting thank you notes and other follow ups, updates to the board, and all-staff emails to be sent by the President.

6. Coordinate Board of Trustee and Board Committee meetings, including scheduling and collating the docket; arranging travel, catering, and side meetings; and drafting minutes for review by VPs and President and approval by Trustees.

7. Assist with event preparation and execution such as Board of Trustees dinners, and events associated with the UN General Assembly and other related weeks. 

QUALIFICATIONS: 

1. Associate’s or Bachelor’s degree in a relevant field, or a satisfactory combination of education and relevant experience.

2. Minimum one to two years of experience providing high level support to senior staff and executives.

3. Exceptional written, oral, and interpersonal skills and the ability to effectively interface with a broad range of constituents, including Board members, senior leaders, partners, and supporters. 

4. Superior administrative and organizational skills, initiative, attention to detail and follow-through, ability to prioritize, and ability to work independently and efficiently.

5. Strong computer literacy, including proficiency with MS Word, Excel, Outlook, PowerPoint, and SharePoint.

6. Self-confidence, problem solving skills, and maturity to deal with the challenges of fast pace, multiple tasks, and team efforts.

7. High level of discretion and ability to handle confidential matters.

8. Prior experience with an international organization desirable. 

SALARY AND BENEFITS: Salary range between $65-80k, depending on knowledge, skills and experience.
