OS seeks a skilled, professional and energetic administrative coordinator to work closely with the executive director on Board preparations, executive travel arrangements, office management and other duties, as required. The ideal candidate must possess exceptional attention to detail, be organized and able to multi-task, and have exemplary communication skills.

Responsibilities include:

  • General administrative duties and office management
  • Maintain the Executive Director’s calendar as well as coordinate and schedule meetings
  • Keep Executive Director, Board of Directors and staff appropriately informed about projects and tasks, demonstrating a sense of urgency, and excellent follow-up
  • Draft correspondence, proof materials and take meeting minutes
  • Make travel arrangements
  • Act independently with minimal direct supervision and with accuracy, detail and excellent judgment
  • Prepare and assemble materials for meetings and events
  • Handle highly sensitive and confidential materials with the utmost discretion
  • Other tasks as assigned

Qualifications:

  • 5 years of relevant experience or Bachelor's degree plus 1+ years of relevant experience preferred
  • Two years of relevant work experience and/or life experience that is in line with the nature of the job;
  • Demonstrated ability to plan, prioritize and schedule activities while managing time efficiently. Ability to follow instructions as may be directed, but capacity to self-manage;
  • Collaborative work style and ability to work across departments;
  • Excellent oral, written and interpersonal communication skills; ability to effectively communicate and coordinate at every level;
  • Confidentiality, good judgment and discretion handling sensitive information;
  • Accountability, professionalism, and commitment to excellence; and
  • Excellent organizational and time management skills, with superior attention to detail, consistent follow-through, strong task-tracking skills.
  • Proactive problem identification/solving with ability to apply sound thinking to problems and communicate using constructive measures to resolve issues; and
  • Proficient in MS Office (Word, Excel, Power Point), Google software (docs, sheets, calendar).
