The ACLU of Northern California seeks a determined and resilient Litigation Assistant who wants to make an impact on civil liberties and civil rights by providing top-notch, on-the-ground litigation and administrative support to our Legal-Policy Department.

The Position

The Litigation Assistant directly contributes to the Legal-Policy Department team’s efforts by providing litigation support for a team of attorneys and completing administrative and program duties that are necessary for the department. The Litigation Assistant is supervised by the Legal-Policy Department Manager & Attorney.

Duties and Responsibilities  

Litigation Support

  • Serving and filing of legal pleadings;
  • Proofing, formatting, or cite checking legal briefs, legal memos, and demand letters;
  • Creating, formatting, and proofing tables of authorities;
  • Formatting and mailing letters or faxes;
  • Creating and keeping current organized paper and electronic case files for each active matter;
  • Facilitating conflict checks;
  • Regularly updating case management software and website with the recent case activity;
  • Supporting attorneys in timekeeping for active litigation;
  • Preparing files to be sent to or retrieved from off-site storage facility; and,
  • Attending litigation meetings and issue team meetings, as appropriate, to stay updated on ongoing work and big picture items.

Administrative Support

  • Preparing expense reports, and reconciling credit card statements at the end of each month;
  • Making travel arrangements;
  • Assisting in the creation of Powerpoint or other presentations;
  • Tracking Public Records Act or Freedom of Information Act requests and responses, and where necessary, following up to ensure complete responses and assisting with review of responses;
  • Conducting Westlaw or internet research;
  • Printing and assembling materials;
  • Assisting assigned attorneys with investigating civil liberties complaints and other special projects;
  • Providing logistical and meeting support; and,
  • Other program and administrative duties as assigned.


Qualifications

  • Prior experience and familiarity with state and federal court rules and procedures;
  • Advanced proficiency with Microsoft Word, Outlook, Adobe Acrobat, PowerPoint and other Office programs, including facility with mail merge, spreadsheets, tables and charts;
  • Excellent oral and written communication skills;
  • Dependable, punctual, and able to maintain a high level of confidentiality;
  • Solution-oriented approach, with a willingness to take initiative, while juggling several priorities;
  • Ability to both work independently and as a team member in a busy office with personal enthusiasm, optimism, and a sense of humor; and,
  • Capacity and willingness to work in an environment that encourages and includes individuals from diverse backgrounds and conflict-resolution styles.

Desired Qualifications

  • Experience in public interest or social justice advocacy work; and
  • Spanish fluency preferred but not required (for one of two positions).

Competitive salary is commensurate with experience.
