Our Impact


College Track students graduate from college at a rate that is more than double the national average for low-income and first-generation students. Six months out of college, 79% of College Track alumni are employed. For those 30 and over, 92% report earnings greater than their parents with wages on par with the national average. By helping our students maximize the value of their four-year college degree, which includes minimizing student loan debt, securing internships, and limiting the need to work while in college--we prepare them to succeed in the 21st century economy.

Position Overview

The National Program Operations & Resource Coordinator provides administrative support to the National Program Department and is responsible for the maintenance of programmatic information and resources across the organization. Under the direction of the Senior Manager of Program Operations, this person helps build and maintain knowledge management systems that sustain our growth and ensure high-quality, consistent programming across all regions. 

The ideal candidate must be able to adapt to a continually evolving environment and thrive in an autonomous and deadline-oriented workplace. They will possess strong organizational skills and the ability to work collaboratively with staff and constituents of diverse backgrounds.

Primary Responsibilities Include:

Knowledge Management & Communication

  • Under the vision and strategy of the Senior Manager of Program Operations, maintain org-wide knowledge management systems, tools, platforms, and resources that support high-quality programming.
  • Build, implement, and maintain the Zendesk ticketing process for all functions of the National Program department; serve as the primary point of contact for programmatic inquiries and triage or outsource to the appropriate stakeholder. 
  • Curate and codify resources for program staff onboarding, offboarding, and development
  • Manage the logistics and communication for processes relating to Senior Titles, Leadership Opportunity Program, and Tiered Site Support.
  • Serve as the Program Department’s lead contributor for the organization’s bi-weekly newsletter, which includes sourcing and editing program-specific content as well as providing general support for the newsletter production cycle.
  • Maintain the org-wide Program Calendar to ensure staff consistently have visibility over key programming dates and deadlines.

Administrative Support 

  • Manage logistics for program staff meetings; support program leaders (Academic Affairs, College Completion, Student Life, and Wellness) in facilitating Role-Alike meetings and documenting program recommendations and decisions
  • Organize and assist in the facilitation of retreats/summits for the National Program Team
  • Locate external staff development opportunities and connect staff with meaningful opportunities for the Operations Manager role
  • Maintain records of the program team’s active memberships, including payment deadlines and access information.

Data Accountability

  • Maintain the org-wide Program Data Accountability Calendar by working with Organizational Performance and Program Design teams to provide accessible resources for staff to successfully meet data entry requirements.
  • Communicate reminders and updates to site teams regarding data expectations

Skills & Experience Required

The National Program Operations & Resource Coordinator must embrace the College Track vision of transforming low-income communities into places where college readiness and college graduation are the norms. Additionally, candidates must possess the following qualifications:

  • Minimum 4-year college degree or equivalent amount of experience in an administrative support role
  • 2-3 years experience working in an administrative role 
  • Strong organization skills; attention to detail
  • Highly motivated and committed to providing quality work to support the team
  • Strong relationship management, interpersonal, and communication skills (written and oral)
  • Proven ability to work and manage projects independently; exceptional ability to monitor and meet deadlines
  • Ability to proactively identify and address problems
  • Flexible and adaptable with projects; willingness to support projects across departments
  • Experience with knowledge management; the maintenance and management of the organizations documented resources
  • Excellent computer skills, including MS Office and Google Suite applications
  • Experience with Salesforce and data management (preferred)
