Coordinator, Education Production

Carnegie Hall seeks a Coordinator to join the Education Production team. Responsible for producing a variety of events across New York City, the U.S. and internationally, this position is part of the Weill Music Institute (WMI), Carnegie Hall's education and social impact arm.

A key member of the Education Production team, this position supports all events produced by WMI. This role coordinates all Education Production administrative processes and production-related administration across the department. Key responsibilities include but not are not limited to maintaining calendars, updating databases, coordinating space requests, ordering supplies, arranging hospitality and staffing events as assigned.

Responsibilities:

  • Coordinate space reservations for all Weill Music Institute programs at Carnegie Hall and at offsite venues.
  • Arrange and manage catering orders for the department as needed, working with internal and external catering vendors.
  • Coordinate all WMI public events in Carnegie Hall’s concert and production databases, including scheduling, repertoire, ticketing information, and more. 
  • Coordinate the maintenance of all web listings for WMI events in collaboration with the Marketing and Digital Content and Engagement teams.
  • Maintain all entries in Artifax for WMI’s offsite events and coordinate with Resnick Education Wing Operations on Artifax entries for all internal events.
  • Coordinate ticketing needs for all WMI ticketed events. Attend weekly ticketing meetings, create ticket orders, update manifests and disperse tickets interdepartmentally as needed.
  • Collect and update RSVPs for WMI events, when necessary.
  • Coordinate on-sales for ticketed events with other Carnegie Hall departments.
  • Act as liaison between WMI program teams, participants and travel agents to coordinate travel and accommodations when necessary
  • Support the Education Production team during events as required.

Qualifications:

  • Ability to prioritize, work as part of a team, meet deadlines and manage multiple projects simultaneously.
  • Attention to detail, excellent communication, interpersonal, and organizational skills.
  • Ability to maintain a calm demeanor under pressure.
  • Proficient computer skills, including Outlook, Microsoft Word and Excel. Experience with SharePoint a plus. Experience with arts enterprise software such as Tessitura, Artifax or ArtsVision preferred, but not required.
  • Ability to work a flexible schedule, including nights and weekends, and travel as required.
  • Ability to lift at least 30 lbs.
  • A background in production, performing arts, events or arts administration.
