The Office Manager Role

Family Law CASA is seeking a reliable, experienced and proactive administrative professional to provide administrative support to our Executive Director, the Board of Directors and our team of 9 staff. This person will be responsible for performing complex administrative duties, including accounting and payroll support, calendar management, front desk reception, meeting planning and logistics, general office management and an office relocation project. We are looking for a motivated, self-starter with excellent attention to detail, who can work effectively in a fast-paced environment and wants to support us in fulfilling our mission.

 

Major Functions

  • Provides front office support including answering phones, greeting visitors, managing mail and coordinating with vendors
  • Maintains calendar for executive director and development team, organizes and coordinates meetings, correspondence, board reports and expense reports
  • Provides logistical assistance for Board of Directors including meeting scheduling and planning, document management, project management, meeting minutes and email correspondence
  • Works with contract accountant to track expenses, prepare reports, process invoices and support payroll and other HR functions
  • Assists in the coordination, scheduling, invitations, meals, equipment, facility, registration, budget, billing and transportation arrangement for in-house and off-site meetings/events
  • Supports the Legal Team and Advocate Supervisors in obtaining relevant reports and releases from King County court, managing and archiving files, doing periodic archiving and other duties as assigned
  • Supports a continuous process improvement by streamlining processes and procedures
  • Manages the office floor, including the maintenance of all equipment, coordinating with IT consultant, ordering supplies, keeping office tidy and organized
  • Supports Volunteer Manager with prospective volunteer communication, scheduling and tracking
  • Provides additional administrative support as assigned 

A Successful Candidate Will Have

  • Five or more years as an Administrative Assistant or similar experience, preferably at the executive level
  • Strong interpersonal communication skills. Ability to approach relations with staff and external partners with empathy, kindness and professionalism
  • Ability to prioritize tasks and organize responsibilities to effectively address multiple simultaneous projects and manage deadlines
  • Good work habits, problem solving ability, attention to detail, administrative and organizational, and managerial skill
  • Ability to produce a variety of professional documents, including spreadsheets, letters, memoranda, reports, executive summaries, flow charts, and PowerPoint presentations
  • Ability to utilize, organize, and update database
  •  A balanced approach to work and a good sense of humor
  •  A passion for our mission and a high level of commitment, motivation and dedication
  •  Demonstrated intermediate to advanced computer skills (Microsoft Office experience required)
