Position Description

The ideal candidate will first and foremost be committed to the BEST Kids mission, vision, and values and have the ability to help evolve the work of the organization to the next level. This person will be experienced in motivating and supporting organizational change to address racial equity goals, and a successful people-developer grounded in an asset-based approach. 

This position is responsible for overseeing and managing all aspects of program operations in a management level role. The Program Director will work closely with and report to the Executive Director and will be held accountable for all program operations. The Program Director will also be responsible for supervising all program department staff as well as program related public relations and community partnership building. 

Performance Measures: The successful incumbent will produce positive outcomes in the following areas: recruitment rate, matching rate, match closure rate, match retention rate, average match length, staff retention rate, staff satisfaction, grant and contract compliance, and outcome performance. 

Essential Duties and Responsibilities

Management Duties:

• Provide opportunities for regular feedback and guidance both to and from staff, while maintaining a positive working environment that is diverse and inclusive

• Participate in hiring activities including position development, interviewing, and selection of paid and unpaid employment candidates and volunteers, as well as any termination processes that may occur 

• Train program staff on program policies and procedures and ensure staff are receiving initial and ongoing training relevant to their job duties

• Equip and encourage staff and hold them accountable to meet program goals and outcomes, and provide coaching and disciplinary measures as needed according to agency policies

• Complete formal staff performance evaluations while also providing regular support and feedback to staff

Program Oversight Duties:

• Develop and enact program policies and procedures with emphasis on safety, professionalism, and efficiency

• Oversee recruitment, screening, matching, support, supervision, recognition, evaluation, and closure activities and communicate any problems to Executive Director in a timely way

• Work closely with contract and grant liaisons to ensure compliance, to report outcomes, and to troubleshoot any issues that may arise.

• Ensure all program activities are safe and effective including mentoring, peer groups, and other program activities

• Manage and organize annual program events such as the Annual Picnic, Winter Celebration, and Mentor Recognition events

• Identify, document, and address safety issues or other concerns for volunteers, children and their caregivers

• Be involved in developing and implementing training for mentors that is relevant, researched based, interactive, and adequate

• Work with staff and advisors to develop and implement ongoing evaluation procedures and manage data collection and analysis

• Assist in the growth, engagement and strategic utilization of the agency Advisory Board to enhance programs

• Compile and communicate regular program reports that accurately reflect program statistics and issues

• Maintain timely and accurate records and utilize technology to report, synthesize and analyze data

• Explore and build meaningful and beneficial partnerships throughout the community

• Develop and maintain strong working relationships with mentors, mentees, caregivers and other service providers

Other Duties:

• Promote BEST Kids and present program options to corporations, community groups, schools, and other groups of potential volunteers, participants, and donors

• Attend and participate in all agency and department staff meetings

• Assist in maintaining a safe and healthy work environment

• Attend and assist in planning and preparing for agency events

• Represent the programs department in agency fundraising activities

• Provide program data for grant writing and reporting purposes

• Other duties as assigned

Education and Related Work Experience

• Minimum Bachelor’s degree in social services, human resources, education or related field required, Graduate degree preferred. Related experience taken into consideration

• 3 or more years of working with youth, program design and management, and/or social work

• Experience supervising staff required

Skills and Knowledge Required

• Proficiency in technical areas such as Microsoft Office Suite and online database systems

• Strong organizational, planning, and facilitation skills

• Ability to relate well in cross-cultural environments

• Ability to effectively collaborate and communicate with other program staff, agency partners, and advisors

• Ability to use time effectively and focus on details

• Ability to adapt to shifting priorities and manage multiple priorities simultaneously

• Ability to form and sustain appropriate internal and external stakeholder relationships

• Ability to effectively assess relational support skills including guiding, supporting, confronting, advising, negotiating, and coaching

• Ability to critically collect and analyze data and problem solve

• Ability to maintain confidentiality throughout daily operations

• Ability to accurately document match information in writing

Work Environment/Physical Requirements

• Routine office environment, though position currently operating as temporarily remote 

• Work hours and work location established to meet customer and agency needs

• Access to reliable car and a valid driver’s license required, as well as a clean driving record

• Must pass criminal, child protection, and sexual registry background checks, including a health and TB screening

• Must produce record of COVID vaccination or undergo weekly testing and be willing to comply with organizational policies for in-person work including mask-wearing and sanitization procedures.

USD 54,000 - USD 64,000
