MDIF seeks an Executive Assistant to be based in its New York office to support senior staff as needed.


The Executive Assistant will be responsible for the following:


Administrative

  • Manage travel arrangements for CEO; both domestic and international (making air travel & hotel reservations)
  • Manage calendar for the CEO & CIO, including scheduling and confirming conference calls and meetings (both in office and out of office meetings)
  • Assist CEO with time management
  • Schedule weekly and monthly executive conference calls via Skype and Zoom
  • Take minutes of select meetings
  • Prepare meeting and presentation materials
  • Set conference room and greet guests for meetings with CEO & CIO
  • Monitor and respond to email correspondence on behalf of the CEO as requested
  • Prepare CEO expense reporting (via Expensify)
  • Maintain contact list and files and oversee electronic mail distribution lists;
  • Maintain CEO’s electronic filing system
  • Coordinate out of town meetings for CEO and other travelers requested by CEO
  • Coordinate annual NY Board meeting and management off-sites; including securing hotel, meeting space, food & beverage
  • Assist with client visits to NY office, including hotel and air reservations
  • Provide additional administrative support to other MDIF personnel as requested by CEO


Additional responsibilities

  • Assisting the CEO and Chief Strategy Office with communications with prospective investors, including maintaining current investor packs and presentation materials, maintaining data rooms (using CapLinked) and coordinating due diligence
  • Special assignments


Research

  • Gather and organize briefing materials in advance of meetings and conferences
  • As directed, conduct internet research on special subjects


Experience Required:

  • 3 – 5 years of experience supporting a senior executive
  • Excellent computer skills, proficient in Microsoft Office
  • Experience with event planning a plus
  • Excellent organizational and interpersonal skills
  • Show discretion and ability to handle confidential issues
  • High level of self-motivation and at ease working independently when necessary
  • Poised, works well under pressure and attentive to detail
  • Flexibility and willingness to work on a wide range of tasks and projects and ability to prioritize tasks
  • Pleasant, diplomatic manner and disposition in interacting with management, co-workers and the public
  • Comfortable working with an international, multicultural team


Essential functions are typically performed in a small, open office setting
