American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to the advancement of women's health care in Washington, DC, is currently seeking a Program Assistant to assist Quality and Safety and the Strategic Health Care Initiatives Departments in the performance of duties related to the Council on Patient Safety in Women's Health Care, as well as other various activities of the Division.

  • Assist with preparations and activities for the Council on Patient Safety in Women's Health Care, as well as any ad hoc workgroup meetings and conference calls; send out meeting notices and communications; maintain rosters; coordinate hotel/meal arrangements and transportation; reserve in-house meeting space and catering; make arrangements for any audiovisual equipment; prepare electronic agenda books; and provide on-site support for members and staff, including maintaining accurate minutes from the meetings. Assist with follow-up on committee, workgroup, and department actions, including: revising documents; preparing, proofreading, and finalizing correspondence; and maintaining document files.
  • Support department activities by coordinating multiple calendars, scheduling meetings and conference calls, and developing routine correspondence, reports, and conference call/meeting minutes.
  • Coordinate and monitor department email accounts (inquiries), web conferences, and listservs. Assist with updates to website content. Develop and implement online surveys using Google Docs and/or SurveyMonkey. Respond to inquiries or refer calls as necessary.
  • Provide coordination and administrative support for Safety Action Series conference calls, including: identifying and communicating logistics with subject matter expert speakers, working with external conference call vendor to schedule call/audio recording, developing registration materials, and proofreading, editing, and distributing slide set presentation to registrants.
  • Maintain a budget-tracking system for the department; process all member expense reimbursements, develop and distribute invoices, manage all check requests, and coordinate follow up with accounting department, as needed. Facilitate all contract review processes with legal and finance teams.
  • Assist in the development of various web-based marketing materials to promote the activities of the Council, including promotion of educational sessions, webinars, and events.
  • Research medical literature and online resources related to department interests; retrieve articles from online databases such as PubMed; coordinate with the Resource Center; and maintain an electronic library of culled articles for various projects.

  • Bachelor degree in relevant field required
  • Excellent written and oral communication skills, with demonstrated copyediting and proofreading experience.
  • Strong, working knowledge of Windows and Microsoft Office applications (Excel, Outlook, PowerPoint, Publisher, Word).
  • Attention to detail and ability to work with unfamiliar medical terminology.
  • Strong project management and coordination skills.
  • Strong customer service skills including exemplary telephone manners with an ability to relate well to a variety of people.
  • Basic knowledge of accounting management.
  • Basic knowledge of WordPress or other web content management system (CMS) a plus.
  • Basic knowledge of marketing automation software a plus.
  • Ability to work with others while handling a diverse workload.
  • Ability to set priorities and follow through on tasks without supervision.
  • Must be able to work extended hours on planned meeting days (600am-1000pm).
  • May require weekend work hours and/or travel.
  • Must be able to lift 25 pounds.
