    Description

    The Level Up Project is a dynamic non-profit organization dedicated to providing comprehensive fiscal sponsorship services and educational resources to strengthen organizations and build stronger communities. We are seeking a highly organized, detail-oriented, and experienced Full-Time Operations & Accounting Manager to carry-out the administrative and financial management of our fiscal projects and contribute to the overall operational efficiency of the organization.

    Reports to: Co-Executive Director of Operations

    Salary Range: $50k - $60k/annually

    Location: Houston, TX Remote (some in person work may be required from time to time)

    Target Start Date: On or before December 1, 2025

    Responsibilities -

    Administrative & Executive Support:

    • Provide day-to-day administrative support for the Co-Executive Director of Operations and the Co-Executive Director of Programs, including calendar management, scheduling meetings, preparing meeting materials, and handling correspondence.
    • Serve as the primary administrative support and point of contact for assigned fiscal projects, assisting project leaders with logistics, documentation, administrative support and communication between project leads and the Level Up Project’s executive team.
    • Manage and organize project-related contracts, agreements, and vendor documentation.

    Financial Management of Fiscal Projects (In Conjunction with the Projects’ Bookkeepers) :

    • Serve as the primary financial administrator for assigned fiscal projects, ensuring compliance with established policies, procedures, and grant/donor requirements.
    • Manage the financial processes for fiscal projects, including the timely and accurate review and approval of financial statements, expense reports, accounts payable transactions, and payroll entries.
    • Monitor project budgets, track expenditures, and provide regular financial updates and analyses to project leads and organizational leadership.
    • Oversee the accounts payable function for fiscal projects, ensuring accurate coding, proper authorization, and timely payment processing.
    • Review and verify payroll entries for fiscal project staff, ensuring accuracy and adherence to labor laws and internal policies.
    • Coordinate with external auditors or internal finance teams for annual audits and financial reviews related to fiscal projects.

    General Accounting and Operations:

    • Assist in the preparation of monthly, quarterly, and annual financial reports for the organization and assigned fiscal projects.
    • Ensure all financial transactions are recorded accurately and in compliance with GAAP (Generally Accepted Accounting Principles) and non-profit accounting standards.
    • Contribute to the continuous improvement of financial and operational processes across the organization to enhance efficiency and internal controls.
    • Perform other administrative and accounting duties as assigned by the Co-Executive Director of Operations.

    Qualifications -

    Required:

    • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
    • Must have 3-5 years of progressive experience in accounting, financial management, or operations within a non-profit organization or managing fiscal projects/grants.
    • Proven expertise in financial statement review, expense reporting, accounts payable processing, and payroll verification.
    • Strong understanding of GAAP (Generally Accepted Accounting Principles) and non-profit accounting.
    • Demonstrated experience providing administrative support to senior leadership.
    • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.
    • Exceptional organizational skills, with a high degree of accuracy and attention to detail.
    • Excellent written and verbal communication skills.
    • Must be flexible and able to pivot when needed.
    • Should be highly motivated and skilled at multi-tasking and staying calm under pressure.
    • Should be an effective and proactive communicator with the ability to communicate with various individuals at all levels.

    Preferred:

    • Experience with grant management and reporting for government or private foundations.
    • Experience in a project-based or fiscal sponsorship environment.
