POSITION:          Bilingual Administrative Assistant I

DAYS/HOURS:  Monday – Friday, 8:30AM to 4:30PM with one unpaid hour for lunch (35 hours/week)

REPORTS TO:     Director of Administration

LOCATION:        7 Winthrop Square, Floor 2, Boston, MA, 02110

SUMMARY OF POSITION:

Volunteer Lawyers Project of the Boston Bar Association (VLP) is seeking a Bilingual Administrative Assistant I, who is motivated and committed to public interest work and access to justice, to be part of our team. VLP is a non-profit legal services organization which provides free civil legal assistance to low-income residents of Greater Boston, primarily through the pro bono services of private attorneys. VLP makes access to justice possible for people who cannot afford a lawyer.


The position requires a customer-service oriented individual who is comfortable dealing with the public at large, the individual will be required to handle and communicate working with legal services communities, private attorneys, and our clients who live and work in the Greater Boston area and face a number of social and economic issues.


QUALIFICATIONS:


EDUCATION/TRAINING:

PREFERRED:                                      

  • Associate’s or Bachelor’s degree
  • 3 years consecutive experience working in an administrative assistant capacity or similar role

  • Fluent in English and Spanish (oral required and written desired)
  • Strong communication skills, both oral and written, in English and Spanish
  • Ability to stay focused and on task in a fast paced/busy environment

PHYSICAL ABILITIES/SKILLS:

REQUIRED:                                         

  • Heavy use of computer

  • Ability to communicate in person, by telephone, and by computer
  • Ability to travel to other locations as needed for administrative support


ESSENTIAL JOB FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

  • Have a basic understanding about the organization’s programs
  • Answer telephone calls and direct callers to appropriate staff person, program, and provide other resources
  • Direct walk-in clients to the appropriate staff person or to other legal resources throughout the Commonwealth
  • Manage the Senior Legal Helpline daily call backs, including listening to voicemails and transcribing recordings into Excel
  • Prepare Excel spreadsheet of Eastern Region Legal Intake (ERLI) call backs and send by email to ERLI staff
  • Check VLP and ERLI administrative emails and respond to requests throughout the day
  • Handle day-to-day administrative office functions including, but not limited to, sorting and distributing mail, filing, copying, managing incoming faxes, data entry, creating reports, updating staff directories and information within our database
  • Maintain inventory of office equipment and furniture on excel
  • Order office supplies for both locations
  • Enter donor information into donor database and generate acknowledgment letters
  • Coordinate and manage multiple office calendars for trainings, meetings, appointments for staff and/or panel attorneys, vacation schedules, legal clinics, and days off
  • Prepare materials and set up for all trainings and/or meetings
  • Attend and transcribe information discussed at support/paralegal staff meetings
  • Assist Director of Administration with organizing training and orientation of new volunteers
  • Assist Administrative Assistant II with organizing and preparing for board meetings
  • Perform data entry into case management system and donor database
