Executive Assistant to Co-Executive Directors

Position Description:

CENTER FOR FAMILY LIFE IN SUNSET PARK, a nationally-recognized social service program in Sunset Park Brooklyn, is seeking a highly responsible and organized Directors’ Executive Assistant to work directly with the agency Co-Executive Directors. Your job will be to provide essential administrative support to senior level managers in the areas of finance, human resources, development, fundraising, and quality assurance.  

Applicant must be well-organized and able to deliver materials in a timely manner. This is a great opportunity for recent grads with an interest in nonprofit management.

Responsibilities:

  • ● Act as the point of contact between Co-Executive Directors, Finance Director, HR Coordinator, Grants Manager, and Program Directors at the agency
  • ● Work with Co-EDs and senior managers to organize administrative structures, supervise task completion, provide data and budgets to help produce reports for funding sources
  • ● Work as part of an administrative team providing comprehensive central support, maintaining a well-organized office and filing system, overseeing purchasing and expense reporting, and ensuring compliance with fiscal and regulatory frameworks
  • ● Assist with onboarding and orientation of new hires
  • ● Screen and direct phone calls and manage correspondence
  • ● Manage Co-Executive Directors’ calendar and help schedule meetings and appointments
  • ● Collaborate with staff and Board of Directors to plan, organize and implement agency events and fundraising initiatives.

Qualifications - External

Requirements:

  • ● Excellent writing and communication skills
  • ● Meticulous attention to detail and organizational skills
  • ● Strong time management abilities
  • ● Responsive to manager’s feedback, ability to take direction and execute work independently
  • ● Ability to balance deadlines and multiple assignments
  • ● Strong computer skills, including proficiency with internet-based research, data entry, and intermediate-level experience with Microsoft Office and Google Applications
  • ● Strong basic working knowledge of in-office technologies (printer, copier, fax, etc)
  • ● Friendly and outgoing personality! 

The Executive Assistant will be responsible for liaising between the Co-Executive Directors, senior managers, youth development and family support programs to streamline administrative processes, organize data and reports, ensure compliance, and contribute to high quality program implementation. This position offers exposure to a person-centered, team environment, and a social-work based approach to services. The position is an excellent growth opportunity for someone interested in non-profit management. Attention to detail and consistent execution of projects are essential.
