Apex for Youth delivers possibilities to underserved Asian and immigrant youth from low-income families in NYC. We recruit working professionals to volunteer and become positive role models who inspire youth to expand their horizons and envision what is possible for their lives. Through mentoring and educational programs that serve students from 1st to 12th grade, Apex volunteers guide and support youth to become confident, be ready for college and give back to the community.

 


JOB OVERVIEW


The Events Manager is a full-time, permanent position responsible for planning and overseeing 8-10 Apex for Youth events annually, including our Inspiration Awards Gala, responsible for $2M in revenue, and the largest fundraiser of the year. In addition to the gala, the Events Manager will plan and execute 8+ smaller fundraising, cultivation, and Associate Board events throughout the fiscal year calendar.


An integral part of the development team, this is a front-line position that will support the Director of Development and Board of Directors in executing a seamless annual gala fundraiser and managing multiple donor and volunteer events and other major event-related tasks as assigned.


The position reports to the Director of Development and is a highly visible position within the organization. There is substantial room for growth. The ideal candidate will be obsessive about details, extremely organized, and have great communication skills. 

 


RESPONSIBILITIES


  • Work closely with staff and active and engaged Gala and Development Board Committee members and Associate Board members.
  • Prepare and maintain event documents including: production timeline, day of schedule, run of show, volunteer orientation, event specific trackers, and seating charts.
  • Plan and execute all event logistics including: contract negotiation, RFP process, event rentals, decor, menu selection and guarantees, entertainment, photography and videography, event data entry, seating and registration, recruitment and training of volunteers, and other event production elements. 
  • Manage and oversee day of event production including welcoming guests, directing event set-up, communicating with staff, organizing vendors, problem-solving, and managing break-down.
  • Communicate with donors, stakeholders, and vendors in a professional manner and take detailed minutes during meetings and conference calls.
  • Book travel arrangements for honorees, speakers, special guests, etc. 
  • Properly create and issue invoices and collect payments in a timely manner, and create comprehensive and detailed financial reports.
  • Plan and lead post-event debriefs and follow up with vendors. 
  • Create and maintain comprehensive event budgets.
  • Coordinate with the Associate Board on social media event postings and marketing. 

 


CANDIDATE QUALIFICATIONS


  • Minimum 5 years of direct event management experience.


  • Excellent interpersonal skills a must, with a hospitality and customer-service orientation toward internal stakeholders as well as external vendors and clients. 
  • Familiarity/experience running in-person and virtual fundraising and cultivation events. 
  • Exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently and efficiently under strict deadlines; ability to prioritize a large volume of tasks.


  • Ability to be proactive, not reactive, and to think strategically across multiple, concurrent projects.
  • A problem-solver that’s solution-oriented and quick-witted.
  • Experience with event registration software and silent auction vendors a plus.
  • Familiarity with donor software, particularly Salesforce.
  • Social media, website management, and marketing experience a plus.
  • Availability to work occasional evenings and weekends around special events, especially during Gala season from February through May.

Additional vacation days accrue according to years worked in the organization.

Salary range: The salary range for this position is $62,000-$75,000, depending on experience.
