Position Description – part-time Administrator, Melodia Women’s Choir of NYC

Melodia Background

Melodia is a 30-singer ensemble currently completing our 18th season. We are a professionally managed, grant-funded volunteer choir exclusively dedicated to exploring, creating, and performing exemplary music for women's voices. Melodia also nurtures the next generation of women composers through commissions and performances. We work with professional women instrumental museums and provide work and creative opportunities for women artists. More information and audio/video: http://www.melodiawomenschoir.org

Since March 2020, Melodia has been operating virtually due to COVID19. Weekly sessions are held on Monday evenings via Zoom and virtual concerts have been presented in May and November. Melodia hopes to return to in-person singing in September 2021.

 

Duties

Melodia seeks a part-time administrator to assist with the management of Melodia. Duties include

  • Posting and distributing audition notices, seeking new ways to find accomplished singers from diverse backgrounds; scheduling auditions with the Artistic Director; providing necessary materials to auditionees; and welcoming singers into the group
  • Preparing and distributing marketing materials, including e-blasts; postcard preparation, printing and distribution; and social media
  • Preparing programs for concerts
  • Coordinating with the Artistic Director on the purchase, rental and preparation of music/scores
  • Assisting with preparation of recorded and graphic materials for virtual concerts
  • When rehearsing in-person, confirming rehearsal space
  • Communicating with members of the choir on logistics such as rehearsal locations and details via e-mail and calendar
  • Maintaining the Google Drive for rehearsal and concert materials
  • Making regular updates to Melodia’s website (Wordpress) including preparing and posting audio samples and updating previous concert and media pages
  • Assisting with fundraising initiatives including two annual appeals - drafting, merging and mailing letters, preparing materials, recording donations, and writing acknowledgement letters
  • Assisting with grant research and writing
  • Completing monthly bookkeeping via the Quickbooks program
  • Creating and maintaining a database
  • Additional duties as needed

Requirements

  • Administrative experience
  • Strong communication skills, especially writing
  • High level of competency with software including Word and Excel
  • Basic graphic design skills
  • Skills in using programs such as Zoom and YouTube for meetings and events
  • Video/auditing skills
  • Knowledge of choral music and/or classical music
  • Experience using document-sharing programs such as Dropbox and Google Drive
  • A college degree

 This position is an average of 8 hours per week. Some weeks may require more or less than 8 hours especially in the weeks before live or virtual concerts. Compensation is $25 per hour. No benefits.
