Robert Battle recently took the helm as Artistic Director, ushering in an exciting new era in Ailey’s history.

We are seeking a Financial Assistant to manage the information and finances for the Ailey Extension. Information management includes: processing contracts and invoices; tracking accounts payable and accounts receivable; overseeing weekly payroll; budget creation and management; tracking statistics and financial report preparation, managing data for clients, teachers, musicians, vendors, and part-time staff; and cash flow projections and various financial tasks/special projects.

Essential Responsibilities

    * Responsible for managing accounts receivable and payable for the department, including generating invoices and processing purchase orders

    * Complete workshop sales—earnings statements, overview, and analysis

    * Discuss and resolve invoices with vendors/employees when required

    * Locate and rectify accounting issues and errors including interdepartmental accounts

 Prepare weekly payroll and accounts payable; and reviews monthly income/expense general ledger reports and cash flow projection tracking

 Financial report preparation

    * Allocation

    * Trend

    * Expired key tag

    * FY comparisons

    * Workshop Sales

    * Client Retention, Attendance Analysis, Client Type Reports

 Oversee and resolve financial/retail issues for desk staff

 Tracks fees charged to clients and fees paid to artists;

 Oversees data-entry and information management for the Ailey Extension Department

 Responsible for streamlining processes for efficiently gathering and managing data and information, including daily sales reconciliations, account payables for 1099 employees and workshop expense, vendor information, invoice files, fiscal files, and new-hire paperwork in order to gather and track data

Required Skills:

    * Strong communication skills with assertive and perceptive communication style

    * Extremely organized self-starter with the ability to detect discrepancies

    * Proficient in Excel, Microsoft office and Salesforce

    * Experience with Accounts Receivable and Payroll preferred

    * Excellent interpersonal and management skills

    * High School Diploma required

    * Bachelor’s degree with related financial/office experience required
