Position Summary

Manage the daily administration of the Lindemann Young Artist Development Program reporting directly to the Executive Director. Responsible for the overall day-to-day operations of the Program including scheduling, project/event management, and processing of finances.

Primary Responsibilities:

GENERAL LYADP RESPONSIBILITIES:

  • Serve as the first point of contact for the daily needs of LYADP members and faculty.
  • Schedule daily, monthly and yearly activities for the LYADP members as approved by Executive Director (further details below).
  • Oversee release requests and LYADP calendars relating to approved releases and overall planning.
  • Assist Executive Director with generating overall budget activity throughout each fiscal year, overseeing financial records, processing invoices, budget re-forecasting, and future season budget planning.
  • Act as liaison for the department in collaborations with other departments (Development, Public Relations, Accounting, Marketing, etc.).
  • Supply, edit, and generate LYADP information for Development Department proposals.
  • Assist with the visa application process for all foreign young artists and master teachers.
  • Produce recital series, annual patron concert, orchestra and piano sessions, and all related LYADP events.
  • Organize internal and outside engagements through the Met’s Artistic and Development Departments, outside patrons, presenters, etc., that feature LYADPs.
  • Prepare contracts or letters of agreements for LYADPs, Faculty, and Master Teachers.
  • Assist with LYADP handbook, website, and create programs for recitals, special events, master classes, patron events, etc.
  • Assist with all aspects of the LYADP audition process, including but not limited to: logistics, status notifications, and travel for finalists.
  • Serve as assistant to Executive Director, including: diary management, booking travel, accommodation, arranging meetings, and any other other support services, tasks and projects as required by the Executive Director.

SCHEDULES:

  • Produce, manage, and distribute daily schedule amendments, weekly schedules and monthly calendars.
  • Coordinate all LYADP scheduling changes.
  • Produce and oversee LYADP performance calendar, including all special events, master classes, patron events, etc.
  • Oversee annual calendar including master teacher dates, master classes, recitals, special events, etc.
  • Manage and develop a multi-season booking and release calendar for all members of the Program, including all Met, LYADP, and outside engagement and weekly, monthly and yearly releases, which is instrumental in LYADP casting for internal and outside casting.
  • Collaborate with the “Juilliard Ellen & James S. Marcus Institute for Vocal Arts” on audition planning and all joint production rehearsal schedules.

Qualifications & Skill Requirements:

  • BA degree or equivalent.
  • 3-5 years prior experience in a cultural institution.
  • Broad knowledge of opera repertoire.
  • Excellent written and oral communication skills.
  • Meticulous attention to detail.
  • Familiarity with proofreading printed foreign languages.
  • Ability to deal with all personality types and be a team player.
  • Ability to multi-task, prioritize and remain calm under pressure.
  • Ability to handle sensitive and confidential information in a discreet and professional manner.
  • Availability to work evening and weekend hours as required.
