This is an exciting opportunity for a motivated, thoughtful, and highly organized individual to serve as our office manager. The ideal candidate excels at managing multiple priorities while proactively forecasting needs and taking initiative. The office manager is a natural problem solver, extremely organized and detail-oriented, has excellent time management skills and a service-oriented, positive attitude.

Key Functions

  • Ensure a comfortable, clean, and well organized office space
  • Responsible for all day-to-day reception needs
  • Support the Vice President, Administration in operational and administrative tasks


  • Greet and direct visitors
  • Assist with registration for in-house events
  • Screen and direct organization’s general email and main phone line
  • Process incoming and outgoing mail and deliveries
  • Maintain organization’s calendar
  • Coordinate scheduling and execution of staff meetings and events


  • Serve as principle liaison with building management and outside vendors
  • Maintain petty cash, process administrative bills, contributions, and other income
  • Ensure stock of kitchen, programmatic, and office supplies
  • Maintain physical administrative and programmatic files and online CRM database
  • Coordinate with IT Director on office technology needs
  • Remain alert to issues of office security and safety
  • Provide administrative and clerical support to staff as needed


  • Update and maintain organization’s online wiki of office policies
  • Assist with new staff and intern on-boarding and off-boarding
  • Assist in developing written protocols for office standards including organization, methods and
  • procedures for administrative support systems
  • Assist in coordinating internship program


  • 3-5 years office administrative experience
  • Detail-oriented with excellent organizational skills
  • Able to multitask and work well under pressure, both independently and as part of a team
  • Excellent interpersonal skills, able to communicate efficiently in a calm and professional
  • manner with all levels of staff and guests
  • Strong technology skills (Microsoft Office required, Salesforce a plus)
