Position Summary

The Movement Capacity Building Associate is part of the Movement Capacity Building (MCB) department at Race Forward.

The Movement Capacity Building team envisions racial justice movements led by Black, indigenous, and other people of color (BIPOC) communities with the self-determination, power, and resources to transform our material conditions. We honor local organizing, histories, culture and context in place. We embody multi-racial, cross-movement solidarity by:

  • Developing tangible organizing and policy tools
  • Working with community leaders and organizations to amplify strategies
  • Building networks and connections for shared learning and alignment. 

Reporting to the Vice President of Movement Capacity Building, the MCB Associate will bring overall support to a team committed to advancing racial justice movement building. The MCB Associate will lead in developing effective systems to support the team in doing its work effectively and efficiently, and continue to maintain those systems. This role will be integral to the smooth operations of the department by ensuring team support of day-to-day operations such as scheduling, communications, note-taking, and other needs. Once in-person gatherings resume, the MCB Associate will be responsible for planning logistics for those events. 

The MCB department is seeking a motivated, self-starter who brings energy and enthusiasm to supporting the movement building and policy development necessary to realize our vision for racial justice. The ideal candidate will be a systems-thinker and will also be detail-oriented and passionate about supporting fast-moving work. 

Duties and Responsibilities

The Movement Capacity Building Associate provides overall administrative and systems support to the MCB team. The Associate supports the overall flow of work through:

Systems Creation and Maintenance

  • Create and maintain a departmental calendar of events, trainings, meetings, deadlines, etc.
  • Maintain the electronic filing system and update with new files and projects as needed. 
  • Develop strong competency with the Race Forward Salesforce system and provide data and information to the team as needed. 

Day-to-day Operations

  • Attend team and other meetings with outside partners. Provide note-taking, manage content for agendas, and other meeting support.
  • Scheduling for internal and external meetings.
  • Communicate with external partners regarding meetings and events, logistics, and other details. 
  • Support client engagement with management of internal and external communication, scheduling, contracting, note taking, and invoicing. 
  • Support project management using the Asana platform. 

Support of Client Intake

  • Support with managing the client intake inbox, Asana, and Salesforce.
  • Scheduling calls.
  • Support with note taking during the calls.
  • Emailing and following-up with client calls.

Training/Webinar Preparation and Support

  • Manage the training inbox including communication around inquiries, requests for refunds, transfers, and scholarships 
  • Process refunds in coordination with the Finance department
  • Provide assistance with PowerPoint deck design and research for content.
  • Prepare training materials for attendees and trainers.
  • Virtual webinar and training support (including providing logistics support to trainers on the day of the training).
  • Lead in the contracting and payment of consultants and affiliate trainers.
  • Support in collecting and communicating pre and post training evaluation data.
  • Support in collecting attendee data for marketing and communications purposes

Event Planning and Logistics

  • Lead scheduling, work with venue and caterers.
  • Communicate with community-based partners.
  • Manage the communication and documentation related to stipends to participants and subgrants to partner organizations. 
  • Manage travel planning of staff and participants. 
  • Be available to support onsite event needs.

Support Membership Network:

  • Support the team in the development of a new membership network, including maintaining communication with members, monitoring engagement, and other needs as they emerge. 

Qualifications and Experience

  • Two to three years of administrative/project management experience in a racial justice or social justice setting.
  • Excellent computer skills in online platforms and software such as Google Suite and Microsoft office products and project management tools like Asana. Experience with Zoom and Salesforce preferred but not required.
  • Experience with scheduling and calendar management.
  • Clear and effective oral and written communication.
  • Fluency in a language other than English is a plus, preferably Spanish.
  • Excellent interpersonal skills, including in multiracial environments.
  • Ability to initiate and follow through on projects. 
  • Evidence of the practice of a high level of confidentiality.
  • Excellent organizational skills.
  • Understanding of a racial justice and intersectional analysis and framework.
  • Experience providing project management assistance.
  • Bachelor's degree or equivalent experience in related fields
  • Strong ability to work closely with others in a small organization with a team-building culture;
  • Strong organizational skills;
  • Excellent communication skills, written and oral;
  • Competent in the use of Asana, Eventbrite, Outlook, Word, Excel and Power Point; preferred experience with MailChimp and WordPress.
  • Collaborative, upbeat work style is highly desirable.

Additional Information

This position requires long periods of time at a desk on a computer and may require time outside of normal business hours.
