DESCRIPTION

Historic Huguenot Street (HHS) seeks a highly motivated administrative professional with outstanding interpersonal skills and ability to oversee administrative, financial, human resource and technology functions. The primary role of this position is to ensure the smooth operations of our National Historic Landmark District, and simultaneously support the President in whatever capacity necessary, while maintaining a passion for the importance of the position in fulfilling the site’s important mission to preserve a unique Hudson Valley Huguenot settlement and engage diverse audiences in the exploration of America’s multicultural past in order to understand the historical forces that have shaped America. 

RESPONSIBILITIES:

Administrative

  • Supervise the Administrative Specialist (AS) and Bookkeeper
  • Provide general administrative assistance to Board Members and President including but not limited to preparing board packets, attending monthly board meetings, and taking meeting minutes
  • Ensure adherence to legal rules and guidelines, such as record retention and change in HR laws

HR/Payroll

  • Process Bi-Weekly payroll
  • Track staff PTO accruals and usage
  • Update and maintain the employee handbook
  • Coordinate renewal of health, dental, and vision insurance policies
  • Onboard new employees
  • Oversee state mandated training to ensure all employees are complying
  • Act as representative for staff in meetings pertaining to payroll and employee benefits

Financial

  • Process incoming checks using a remote deposit machine and weekly deposit log
  • Coordinate lease renewals and track monthly rent payments
  • Manage accounts receivable as needed (such as donations to the Family Associations).
  • Oversee petty cash transactions
  • Ensure all AP requests are properly reviewed and coded prior to approval
  • Maintain internal controls for all financial procedures
  • Assist President with annual budget
  • Track and allocate grant income and expenses and provide necessary reporting

Other

  • Update Board & administrative policies, manuals, and other institutional records as necessary
  • Liaise with outside IT company to ensure server and computers are updated and working properly
  • Provide support to Team Leaders
  • Communicate/facilitate transactions with outside vendors, local officials, descendant organizations

REQUIREMENTS/SKILLS

  • Bachelors degree with four or more years working in a professional office environment
  • Detail-oriented, possessing strong organizational and multi-tasking skills. Is self-motivated and confident in taking initiative. Has a sincere eagerness to learn new things, and a capacity to perform tasks accurately within prescribed deadlines
  • Excellent writing and communication skills
  • Proficiency in Microsoft Office Suite (especially Word, Excel, and PowerPoint).
  • Ability to effectively multitask in a highly demanding environment
  • Ability to work both independently and as a team player.
  • Able to maintain confidentiality and discretion as a rule. Candidate must possess qualities of good judgement.
  • Ability to climb stairs, walk the length of the Historic District

SALARY, HOURS, and BENEFITS

  • This is a full-time position that reports to the President and supervises an administrative staff of two.
  • Hours are 9am-5pm, Monday – Friday.
  • Health insurance and other fringe benefits available.
  • Full-time salary range is $45,000-$51,500
