The Foundation for Advanced Education in the Sciences (FAES) was established in 1959 by scientists at the National Institutes of Health (NIH) to provide educational activities and professional services to the scientific community. Over the past five decades, FAES has grown to be much more to the NIH community. Located on the main NIH campus in Bethesda, MD, FAES complements the work of the NIH in accomplishing its mission of research and training in the biomedical sciences by providing academic courses in the evenings through its Graduate Schools. FAES is also dedicated to promoting the productivity and attractiveness of professional life on the NIH campuses through additional services, such as a scientific bookstore, hands-on biotechnology workshops, conference management services, a health insurance program for NIH Fellows as well as sponsorship of conferences, lectures and cultural events, and limited housing.
Primary Duties and Responsibilities will consist of
Graduate School 65%
As part of a small team, and reporting to the Director of Academic Programming, responsible for admissions and registrar services to include:
o Scheduling classes in close coordination with Graduate School faculty and NIH facilities management, with minimal supervision
o Provide high-quality enrollment and in-class experience to students: handle admissions approvals and course registrations; process and keep accurate tuition payment records; correspond widely with NIH administrators regarding tuition payment; correspond with students regarding status updates or other academic records matters, exercising independent judgment within given academic policy and guidelines
o Prepare, administer, collect, and distribute end-of-class evaluations
o Collaborate with Enrollment Specialist in providing education technology support to online courses and in academic records maintenance, including transcripts issuance
o Serve as first point-of-contact for student inquiries and use tactics and strategies to turn inquiries into leads/enrollments
o Assist in all outreach and publicity efforts, as needed; create flyers and other promotional materials utilizing graphic design skills
o Coordinate Graduate School recruitment events, such as Open House
o Work closely with Director of Academic Programming in providing excellent support services to faculty by coordinating the collection of syllabi, documents from new hires, etc.
o Conduct research, as needed, on identifying new avenues to promote Graduate School courses.
Graphic Design 30%
Work cross-departmentally at FAES to produce attractive and effective designs in promotional materials:
o Use graphic design skills in Adobe Creative Suite to produce high-quality flyers, ads, and other promotional materials that are consistent with FAES brand
o Purchase stock imagery as needed; maintain and archive publicity files
o Provide and continuously develop understanding of typography, layout, and art and thus contribute with confidence to overall FAES marketing efforts
o Liaise effectively with team members from other departments
o Update and create business cards for FAES employees using custom format.
FAES Web Administration 5%
Use website content management technical skills in Drupal to create, maintain and ensure uniform website standards across FAES’s departments
o Maintain consistent design layout, theme, look and feel throughout all web properties
o Provide technical quality control and maintenance of all FAES website pages and resolve any technical challenges
o Serve as primary point of contact with FAES technology consultants to troubleshoot any technical website issues and to coordinate enhancements or developments to current FAES website
o Work closely with staff members from each department in managing content for the organization’s web presence; proofread all website content and proactively propose improvements or new ideas to FAES’s website to ensure continued enhancement and regular updates to the site
o Maintain and update events calendar on FAES website and regularly post and link NIH-wide events that fall broadly within the mission of FAES
o Assure web-based information is archived for future needs and reference
o Track and report on all site metrics
o Keep current with emerging web technologies, website design practices through relevant blogs, listservs, and events
o Bachelor’s degree in a relevant field, and two or more years of experience administering education programs at an educational organization or in a non-profit environment
o Demonstrated skills in customer service, events coordination, payment tracking and reconciliation
o Min. one year of experience administering and scheduling academic programs in a complex, relational student information system (SiS) database, such as CampusVue, including providing end-user technical support for students and faculty
o Exceptional communication and organizational skills
o Experience creating and administering surveys in Survey Monkey
o Experience creating, maintaining and updating web content in Drupal
o Experience creating reports and providing data analytics
o Computer skills: ability to use Microsoft Office Suite (Word, Excel, PowerPoint, Adobe PDF)
o Design skills in Adobe Creative Suite (InDesign; Photoshop; and, Illustrator).
