Project Overview

As a project at the New Venture Fund, the English Learners Success Forum (EL SF) aims to increase the availability and accessibility of high-quality, aligned K-12 instructional materials for English learners (ELs). With the growing EL demographic in U.S. public schools and the sobering achievement gap that exists between ELs and non-ELs, significant transformation must occur in how instructional materials are developed to better meet the academic needs of ELs. This will require collaboration among developers of high-quality instructional materials, the nation’s leading EL experts and practitioners, and education nonprofits that are committed to quality, aligned materials.

Position Summary

We are looking for people who are passionate about ensuring all students, particularly English learners, get the education they deserve and have a desire to use their project coordination skills to help us make an impact nationally! Our EL experts and practitioners work directly with esteemed content developers (nonprofits, publishers, etc.) to make materials more inclusive to the needs of ELs. Lessons learned and practical how-to documents and tools are developed and shared publicly so that all developers of content, including teachers, instructional teams, districts, states, and publishers, have access to research-based guidance as they consider the needs of the growing EL population. The Project Coordinator, under the direction of the director, will provide professional-level project coordination to ensure ELSF’s work runs smoothly by tracking project progress and keeping project directors organized and updated from inception to completion of project activities. A successful candidate will be highly organized and operate with a sense of urgency. The Project Coordinator will report to the Director of the Curriculum Review Process and will work closely with the Executive Director.

Essential Responsibilities and Tasks

  • Based on project scope and requirements, track and document progress toward milestones, communicate timelines and necessary steps to ensure smooth and timely workflow among project partners, and support staff in report development
  • Work with team to identify, coordinate and track tasks to keep project going according to schedule
  • Proactively identify areas that require operating procedures and develop efficient processes
  • Coordinate and schedule meetings with stakeholders, including content review teams, ELSF leadership committees, and prospective partners
  • Create, update and maintain organizational documents and online content and ensure that relevant project information is captured and analyzed
  • Assist in project’s continuous improvement process, such as design of survey instruments and focus groups, and collection and curation of data
  • Coordinate travel and meetings, and provide logistical support for project events, such as trainings and hosted meetings, and develop and disseminate meeting agendas and materials, document and communicate decisions and action items
  • Process expense reports for staff, contractors, and meeting attendees
  • Coordinate internal resources and third parties/vendors for the flawless execution of project activities
  • Support all partnership development efforts including:
  1. Creating and maintaining outreach and partnership documents
  2. Communicating with potential and current contractors/partners, gather necessary documentation
  3. Coordinating agreements and forms through to signing
  • Support staff in file storage and other business solutions maintenance
  • Develop and maintain database of stakeholders, recruitment and outreach opportunities, and consultants for project
  • Follow up with stakeholders as directed
  • Proactively communicate with ELSF team members
  • Provide feedback and support on research and strategy initiatives, as needed
  • Other administrative duties as needed


Required Education, Experience, Knowledge, Skills and Ability

  • Bachelor’s degree
  • Proven experience of participating in projects as project coordinator or project management assistant with extraordinary attention to detail and professionalism, and the ability to organize, plan, and execute
  • Experience in planning and schedule management
  • Affinity for applying structure to team activity; appreciates the need for rigorous documentation, yet flexible
  • Experience working with a mission-driven organization
  • Experience working within a diverse community and is culturally competent
  • Outstanding interpersonal, communication and teamwork skills (written and verbal)
  • Proficient in social media platforms (Twitter, LinkedIn, Facebook, etc.)
  • Effective time management
  • A strong sense of personal responsibility for one’s work
  • Proficient in Microsoft Office and Google tools and other digital collaboration tools, such as Basecamp
  • Comfort with working remotely
