POSITION TITLE: ASSISTANT DIRECTOR (RECRUITMENT & ADMINISTRATION)

REPORTS TO: PROGRAM DIRECTOR

POSITION OVERVIEW:

We are seeking a results-driven Assistant Director of Recruitment and Administration with strong leadership skills to manage, support, and improve the efficiency of our recruiting process and program administrative outcomes. Duties for the Assistant Director of Administration may include managing our recruitment model, engaging employers, responding to and managing applicants, screening for eligibility and fit, inputting and maintaining data, managing staff scheduling, guiding administrative methods, monitoring budgets, and improving information systems.

The Assistant Director of Recruitment and Administration will also lead the development and implementation of strategic talent acquisition tactics and leads the evaluation of the entire recruiting function.

RESPONSIBILITIES

  • Negotiating contracts and agreements with vendors.
  • Maintaining partner relationships.
  • Monitoring operating expenses.
  • Research, compile, and create presentations and materials as needed.
  • Update Director and VP of Workforce Development on recruiting, enrollment, and hiring outcomes.
  • Build programmatic and organizational talent pipelines for current and future job opportunities based on Labor Market Analysis.
  • Lead all sourcing strategies
  • Implement online and offline program branding activities.
  • Oversee all stages of candidate experience (including application, interviews and communication).
  • Forecast hiring needs based on program growth plans and employer interest
  • Participate in and host virtual program events to build partners, employers, and candidate interest.
  • Develop a network of recruiting partners.
  • Develop and measure key recruitment metrics to provide continuous improvement of the process, like source of hire and time-to-hire
  • Overseeing day-to-day administrative tasks.
  • Developing administrative policies.
  • Hiring and training administrative staff.

Generalized Work Tasks

  • Interacting With Computers - Use electronic devices and systems (including hardware and software) to manage virtual events, screening and interviewing appointments, outreach, research, and administrative functions.
  • Gathering Information - Observing, receiving, and researching information from a multitude of sources.
  • Communicating with Supervisors and Peers - Providing information to supervisors and co-workers verbally and in writing.
  • Communicating with Persons Outside Organization - Communicating with people outside the organization verbally and in writing to represent the organization to customers, partners, and other external sources.

QUALIFICATIONS

  • Degree in Business Administration or equivalent.
  • Three to five years experience managing recruitment and administrative functions
  • Excellent organizational and leadership skills
  • Broad knowledge of recruitment administrative and functions.
  • Superior communication skills.
  • Broad knowledge of recruitment administrative and functions.
  • Project management knowledge
  • Budget management experience
  • Proven experience in the same or other similar positions
  • Experience in performance and operations management
  • Proficient in MS Office
  • Aptitude in problem-solving
  • Experience as a forward thinking team player
  • Strategic thinker
  • Reliable and self-motivated
