Purpose of Position:

The Think Tank Operations Associate works under the day-to-day supervision of the Managing Director, Think Tank to manage critical processes and logistics that ensure the think tank functions smoothly and efficiently. This is an administrative role that will grow to incorporate strategic operations management work as the individual demonstrates consistently high levels of performance.

This is a non-management, unionized, individual contributor role.

Essential Functions and Responsibilities:

The core responsibilities of the Operations Associate include:

Operations

  • Contract management: drafting contracts and managing the contract approval process for external fellows, authors, vendors and other consultants. This requires working closely with internal stakeholders (i.e., general counsel, HR, finance, development) and carefully managing relevant external relationships (e.g., a potential fellow, universities).
  • Expenses: preparing and submitting Think Tank expenses for payment, including staff and fellow reimbursements.
  • Meetings support: coordinating internal and external meetings, along with assisting in preparing and distributing agendas and other documents; note-taking during meetings; and communicating necessary next steps to internal and external stakeholders.
  • Events and convenings support: partner with staff and fellows to handle logistics, contracts, vendor payments, travel arrangements, printing and other event-related activities.
  • File management: managing/updating/organizing the Think Tank shared drive with process/management documents, contracts, check requests, and other documents.
  • Subscriptions: set up and manage subscriptions for Think Tank staff and fellows. 
  • Handle incoming operations-related email requests, phone calls and mail.

Financial Management

  • Prepare and submit check requests to pay external reviewers, fellows, authors, consultants and other vendors, following established internal procedures.
  • Budget tracking: track payments and expenses against yearly budget allocations, and monitor budgets to assure organizational efficiency and appropriate resource allocation.

Operations Strategy

  • Work with the Managing Director to evaluate and improve Think Tank processes.
  • As the role progresses, the Operations Associate will be encouraged and expected to take initiative in improving existing and introducing new processes and procedures.
  • This work will be supported by access to professional development resources to help build skills in nonprofit management and planning.

The person in this position should demonstrate continuous effort to improve operations and financial management, streamline work processes and work cooperatively and jointly with staff and fellows.

Education:

  • Bachelor's degree

Experience:

  • 1-3 years relevant work experience preferred (including prior administrative experience).
  • Must be organized and have strong interpersonal skills.
  • Strong writing skills.
  • Demonstrated competency in detail-oriented work and bringing projects to conclusion on a timely basis.
  • Ability to learn quickly, try new things, and remain flexible.
  • An ability to identify problems in organizational processes and propose efficient time-saving solutions.
  • Ambition to seek out increased responsibilities.
  • Passion for the Roosevelt Institute’s work and mission.
