POSITION: MEMBERSHIP AND INFORMATION TECHNOLOGY ASSOCIATE/OFFICER

PGA is recruiting a Membership and IT Associate/Officer to be located in its New York office. The Associate/Officer will serve as the organization’s website and membership database administrator and information technology point person and will work under the supervision of the Deputy Secretary-General (DSG) and in close collaboration with program directors and administrative staff of PGA. 


RESPONSIBILITIES:

Membership

·      Monitor and implement Membership goals of PGA Strategic Plan

·      Maintain a database of approximately 1,200 registered member-parliamentarians

·      Register new members and send welcome letters

·      Keep all members’ contact data updated, working proactively in securing email addresses of members

·      Maintain and prepare accurate statistical information on membership composition 

·      Monitor elections and update members’ term status as needed

·      Target and coordinate recruitment of new members, in cooperation with program staff

 

Website and Communications

·      Publish content on PGA's website, as provided by PGA staff, ensuring all content is kept up to date.

·      Administer organization’s social media accounts including Facebook, Twitter, Flickr page and YouTube, in coordination with other staff members who cooperate on this function.

·      Design, resize and crop images to fit within existing templates on website.

·      Work with program staff to create mail campaigns on Mailchimp to PGA Members, Donors and Partners.

·      Keep files updated (PGA calendar of activities, PGA Letterhead, Membership Excel / Mailchimp lists, EC/IC contact lists.)

·      Manage Zoom licensing and set up meetings and webinars

·      Draft letters as requested

·      Assist programs in development and management of program contact lists

·      Manage UN pass accreditations with ECOSOC and DPI and prepare DPI Annual Review and ECOSOC Quadrennial Report, in cooperation with the Development Officer

·      Monitor the Info@pgaction.org and SG@pgaction.org email accounts. 


Office 365/Sharepoint

·      Administer all aspects of Office 365

·      Set up new email accounts

·      Manage folders and directories

·      Provide training and support to program staff


Technical Point Person

·      Serve as primary tech support provider for staff, as needed

·      Advise organization on cost-effective systems (computers, internet provider, cloud-based technologies, internet router, software, hardware, printer)

·      Manage Tech Soup account and purchasing of hardware and software

·      Responsible for new computer deployment and software installation and setup 


Conduct additional assignments for Secretary-General and Deputy Secretary-General as requested.



REQUIRED QUALIFICATIONS:

·      Bachelor’s Degree/Degree in Information Technology 

·      Knowledge of Microsoft Office 365 

·      Experience with Elxis or Joomla CMS, CSS, HTML

·      At least one year of experience 

·      Excellent organizational, communications and editing skills

·      Political awareness and sensitivity, and inter-personal and “diplomatic” skills

·      Very detail-oriented, team-player

·      Fluency in English; Knowledge of French or Spanish is a plus

·      Legal authorization to work in the United States
