Health Volunteers Overseas (HVO), a global health nonprofit located in downtown DC, is hiring a Volunteer Placement Coordinator. 

HVO is dedicated to improving the availability and quality of health care in resource-scarce countries through the training and education of local health care providers by US-based health and medical volunteers. Each year, HVO sends over 450 short-term volunteers to 90+ project sites in 26 countries.  Please visit www.hvousa.org for more information about HVO.

The Volunteer Placement Coordinator is responsible for a variety of volunteer placement, project monitoring, and administrative tasks, including: 

Volunteer Placement: Responsible for overseeing the intake, vetting, placement, and debriefing of HVO volunteers for assigned projects. Handle initial contacts with potential volunteers, work with project directors and on-site coordinators to coordinate placements, oversee pre-departure preparation and logistical details (orientation materials, release forms, etc.), update electronic information, maintain volunteer schedules at various sites, process post-trip reports and other documentation, communicate with senior staff on volunteer-related matters, coordinate overseas travel and housing arrangements, submit reimbursement requests.

Project Monitoring: Monitor developments at sites based on feedback from volunteers, on-site coordinators, and project directors to help ensure that goals and objectives of each project are being met. Update documents to reflect project changes re: logistics, review programmatic issues with appropriate staff, and implement approved plans of action.

Administrative and Membership: Provide assistance to other members of the program department, maintain volunteer and project files (electronically), update database with volunteer assignments and status, respond to requests for information, answer phone calls, promote HVO membership, represent HVO at professional meetings, assist with mailings and other administrative tasks as needed.

Requirements:

  • The successful candidate will be highly organized and have excellent interpersonal skills, as well as relevant full-time administrative work experience and a college degree. (Please note: this is primarily an administrative position with a heavy emphasis on customer service; it is not a policy-related position in public health.) Appropriate experience could include: nonprofit administration, customer service, meeting planning, volunteer management, or experience in the travel industry.
  • Strong time management skills, excellent communication skills (both written and oral), and a solid working knowledge of MS Office (Word, Outlook, Excel, SharePoint, etc.) are critical.
  • You will communicate with volunteers via email and phone, and must be diligent about following up at every stage of the process. Attention to detail is a must, as is the ability to manage multiple projects/deadlines simultaneously.
  • HVO relies heavily on a database to manage volunteer operations. You must be comfortable using a database to enter, track, and retrieve information accurately. Familiarity with Salesforce a plus.


The successful candidate will be flexible, proactive, resourceful, efficient, and professional. Problem-solving skills, a positive attitude, and a sense of humor are also important.
