Position Overview

As the Special Assistant to the CEO for External Relations and Operations, you are instrumental to the success of the CEO, providing dynamic and invaluable support in every dimension of his work, from scheduling and correspondence to research and writing. You will be active in advising, vetting internal and external requests and ensuring timely management of all inquiries, directing and collecting information to and from staff as appropriate, leading on researching and briefing preparation, and managing special projects and events as appropriate. You will often be an outward facing representative of the CEOs office, so should have and maintain the presence and gravitas to interact and interface with our Board of Directors, major donors, senior leaders and staff members on a wide range of fundraising, programmatic and operational projects.


Responsibilities

Responsibilities will include, but are not limited to:

  • Support the CEO in managing day-to-day operations including meeting planning, preparation, and follow up; portfolio will include overseeing correspondence, scheduling, maintaining the calendar and files, and follow up with internal and external meetings with staff, donors, and stakeholders.
  • Help to lead interdepartmental coordination for board engagement, including board of director meetings, board communications, and board member onboarding.
  • Collect, analyze, and synthesize data to identify potential opportunities and follow-up strategies including creating narrative reports and developing tables and charts.
  • Help to manage the CEOs key relationships with board members, donors, stakeholders, grantees, and staff, and facilitate regular communication, including coordinating campaigns and campaign progress to date, as relevant and necessary.
  • Partner with Research & Growth and other relevant departments in collecting, conducting, vetting and evaluating background research on donors, stakeholders, and organizations.
  • Advise and assess requests and inquiries that come into the CEOs office; create and monitor tracking systems to ensure that the office is responsive to all requests and invitations.
  • Oversee and coordinate staff research and planning for key trips, events and travel.
  • Staff the CEO at meetings and events as appropriate; advising on and overseeing follow up action items, goals and outcomes.
  • Prepare written materials including presentations and formal/ad hoc reports, internal and external communications, research briefs, and agendas.
  • Assist with special projects as needed.
  • Represent the CEOs office in internal meetings as appropriate.


Qualifications

  • Bachelors degree required.
  • 5-8 years of Executive Assistant or relevant experience.
  • Exceptional interpersonal and communication skills with the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
  • Strong writing, research and presentation skills.
  • Excellent organizational and project management experience.
  • Strong attention to detail is crucial.
  • Ability to work independently and as part of a team.
  • Exceptional research and synthesis skills.
