KEY JOB RESPONSIBILITIES

I. Perform

1. Monitor and oversee all personal/professional service contracts including assuring payments and terms are in accordance with contracts

2. Prepare monthly journal entries and maintain records for year-end audit for various functions as needed

3. Review and track coding and proper authorization for project-related accounting, including travel, invoices, and contracts

4. Generate revenue and expense journal entries and track, monitor and prepare grant revenue journal entries for review in accordance with accounting policies

5. Draft grant and production service invoices in accordance with deliverable schedules


II. Collaborate

1. Prepare standard and special financial reports for internal and external project managers and clients, including preparation and analysis of internal financial reports

2. In coordination with appropriate staff, track and pay/receive royalties for CPM intellectual property

3. In coordination with the Controller, maintain the fixed asset system, to include managing the annual physical inventory, preparing necessary journal entries and reconciling system to the general ledger

4. Assist Controller with preparation and reconciliation of investment accounts

5. Act as back-up to Accounting Manager with regard to bank reconciliation and Cash Manager module as needed

6. Assist Accounting Manager with monthly reconciliations of accounting and development records

7. Act as back-up for various other accounting functions


III. Administer

1. SharePoint Administrator for Administrative Team

o   Update and send out monthly reports to budget managers

o   Project time allocations – train staff on purpose, use and frequency

2. Monitor grant-related receivables, including review and reconciliation of receivables on aging list and unbilled receivables, according to contract terms or donor stipulations

3. Ensure requirements and regulations of grant funders are communicated to appropriate staff and properly fulfilled

4. Take initiative to increase knowledge and skills from the Controller and Finance and Budget Manager

5. Maintain and back-up project cost accounting processes including facility, equipment and personnel allocation tracking and imports to the GL

6. Assist in the annual budget cycle process including staff training and support for the stated goals and objectives

7. Provide information and research for organizational, grant-related and other budgets during the budget process and throughout the year

8. Help maintain project and other budgets as needed

9. Provide variance analysis for operating budgets, highlighting areas of concern


QUALIFICATIONS AND ABILITIES

1. Bachelor’s degree in Finance, Accounting, or equivalent experience required

2. Three years’ Accounting or related experience required

3. Expertise in Excel and Accounting software

4. Working knowledge of MS Office

5. Strong technical aptitude

6. Budget, cost accounting, grant budget administration experience preferred

7. Ability to sit and type on a keyboard for long periods of time

8. People and project management: successfully work across all levels in and out of the organization to gather specific information or initiate specific actions
