OVERVIEW:

The Finance Manager ensures the accuracy and appropriateness of the financial activity and reporting for the museum, through their strong knowledge about GAAP, accounting systems, reporting, and business systems interconnectivity and their advanced technical capacity with financial software for monthly closing, general ledger reconciliation, and institution and departmental reporting. The Finance Manager manages the reconciliation of cash, endowment and investment activity and balances. Liaison with the audit team will also be a key responsibility. This role is responsible for supervising the accounting staff and interacting across departments to ensure accurate monthly and annual financial closes. This role will support the CFO with budget forecasting, development, enacting, and monitoring.

RESPONSIBILITIES INCLUDE:

• Oversee monthly close and annual close with a focus on clearing AR/AP accounts, releases from restrictions, accruals and reconciliation of special projects. Liaise with department heads to review their regular and special project budget vs. actual reports. (This includes curatorial and exhibitions departments, fundraising projects, etc.)

• Lead the department in preparing fiscal year-end audit schedules and preliminary federal and state tax returns for review, approval, and submission by the CFO and leadership, (e.g. 990 and other tax returns, 1099, etc.).

• Work with CFO and CIO to ensure appropriate monitoring of investments (including endowment draw, reporting, etc.)

• Work closely with the CFO and Finance team members to create, sustain and monitor appropriate and effective forecasting models for cash-flow, revenue, operating budgets and strategic budgets.

• Reconcile/oversee the reconciliation of Museum bank checking accounts on a monthly basis, and serve as the museum’s primary contact/liaison with the bank. Monthly review and reconciliation of online accounts with PayPal, EBay, Mission Fish and Amazon.

• Serve as online credit card system administrator which entails card tracking, fraud tracking, and entry of courier card data, review of charges and credit card upload and entry of monthly journals.

• Review/coordinate/perform reconciliation annually of permanent collection sub ledger.

• Support for Human Resources management regarding the recording and reconciliation of payroll and benefit entries and the 401K audit.

• Approve weekly payments via Bill.com, including coding, vendor and entry accuracy for 1099 reporting. Sort and distribute invoices to project managers.

• Support MOCA store and box office with financial needs including inventory and POS and other system reviews and reconciliation.

• Perform appropriate back up duties for Senior Accountant and/or CFO support as necessary.

• Develop and maintain an appropriate and accurate system for tracking fixed assets and depreciation.

• Work with CFO and Development to develop and maintain cost effective process for the receipt and recording of stock gifts and other non-cash contributions.

• Oversee and maintain systems for tracking expenses for government and foundation grants and prepare regular financial reports and requests for payments from government agencies.

• Support the Chief Financial Officer in their role as liaison to Finance and Investments and the Audit Committees of the Board of Trustees.

Education and Experience:

MBA or CPA preferred, BA/BS in accounting or finance required. 5 years’ supervisory experience, fiscal analysis, and business accounting in a non-profit, museum sphere preferred. A posture of maturity and a desire to build and lead a team. Advanced knowledge of MS Excel, General Ledger Accounting Software, QuickBooks, Reporting software such as Fathom, Bill.com, and Paycom.
