Job Description: Administrative Assistant

ScholarMatch is excited to announce a new position to join our team of 19 dynamic people, based both in San Francisco and Los Angeles. The Administrative Assistant will join an upbeat office with a friendly staff serving Bay Area students as they embark on their college journey.

Position Summary

The Administrative Assistant reports to the Executive Director and performs operational duties critical to the functioning of ScholarMatch. This position will support the Executive Director, perform administrative tasks, assist with data reporting, and oversee the organization of the office. The ideal candidate will be excited to interact with students and supporters of ScholarMatch, competent in the Microsoft Office Suite, have impeccable attention to detail, be comfortable working with databases and spreadsheets, be able to manage multiple assignments and projects at once, and be passionate about college access. This position must be willing to assist with many varied tasks in a fast-paced, social office environment.

Major Responsibilities

·Assist the Executive Director with administrative tasks, such as scheduling, booking travel, and donor communications.

·Assist with exporting and organizing data from a database.

·Assist with reporting of data by generating charts and graphs from datasets as directed.

·Oversee the organization of the office including ordering supplies and maintaining office systems.

·Assist with data entry of donations and writing thank you notes and receipts for donations.

·Assist with errands outside of the office, such as picking up supplies or mailing out packages.

·Assist with billing and invoicing for purchases.

·Answer the phone and greet visitors in a helpful and professional manner.

·Manage the mailing list for the organization and assist with database upkeep/maintenance.

·Assist with operational office tasks on occasion and as needed, such as assembling press kits, event set up/clean up, organizing files, and cataloging photos.

·Willingly collaborate with other team members to assist with special projects as needed.

·Bring a smile, can-do attitude to do whatever it takes to get the job done, and sense of humor.

Required Qualifications

·Associate’s degree

·Experience with Word, Excel, and a database

·Exceptional professionalism

·Strong writing and communication skills

·Desire to learn about and work in a nonprofit serving under-resourced youth

·Ability to be flexible and work in a fast-paced, collaborative open-plan work environment

·Spanish fluency desired, not required.
