Job Summary

A school that is strong in its operations can devote 100% of its attention to academic excellence. Ivy Hill Prep will be that school. We are looking for a passionate, driven, detail-oriented Director of Operations who will create and execute the operational foundations of Ivy Hill Prep​. The Director of Operations ​will be responsible for all day-to-day operations, work directly with a range of vendors and the school’s back-office provider, and lead the operational staff of the school. The Director of Operations ensures implementation and maintenance of clear systems that allow leaders and teachers to focus on student learning and outcomes.

Key Responsibilities*

·      Manage all operational needs of the school, including the facility, all financial operations, entrance and exit procedures, attendance, school food, record-keeping, and human resource functions

·      Proactively anticipate the needs of teachers and academic leaders, creating systems and procedures to ensure staff have the resources and support to drive student learning

·      Supervise, support, and evaluate all members of the Operations Team, currently including the Operations Manager and Operations Coordinator

·      Oversee all aspects of the co-location relationship in collaboration with the Head of School

·      Manage and oversees the school’s physical condition through daily, weekly, and monthly audits

·      Create and manage duty schedules, including but not limited to: arrival, breakfast, lunch, transitions, testing, and dismissal; assist with and provide feedback on schoolwide transitions

·      Collaborate with the Head of School to create and maintain Ivy Hill Prep’s academic and event calendars

·      Co-lead in the planning and execution of school events, including transportation, communication, logistics, and audiovisual support

·      Oversee all school-based compliance and reporting requirements, ensuring Ivy Hill Prep is good standing with all authorizing agencies, whether city, state, or federal; collaborate with other school leaders to prepare for visits from said authorizers

·      Ensure compliance with health and safety laws, charter contracts, state education mandates (including staff fingerprinting), teacher certification, and all federal and state workplace regulations

·      Maintain accurate student information records

·      Manage official correspondence, both written and via automated messaging, with Ivy Hill Prep families

·      Manage the enrollment process, including community outreach events, marketing, student lottery, registration, and family engagement events

·      Track student admission applications and maintain waitlist in accordance with all legal requirements

·      Create a detailed start-up checklist and ordering list to ensure that the school starts each year prepared and fully stocked

·      Act as the primary liaison with the Director of Finance for the day-to-day management of the budget, payroll, purchasing procedures, tracking, and financial reporting

·      Act as the primary liaison with the school’s technology firm

·      Manage relationships with all operations vendors, including food services and custodial services

·      Create and manage teacher, student, and classroom schedules

·      Create and manage logistical systems within the academic program

·      Uphold a high expectations environment in the main office and all parts of the school

·      Staff the Main Office when Office Manager is unavailable or not present, and ensures the smooth operation of the main office, including mailings, attendance reporting, office machine maintenance, etc.

·      Ensure the physical and emotional safety of all students and staff by consistently evaluating the school culture and environment

·      Implement legally compliant safety procedures and drills for fire, evacuation, lockdown, shelter-in, etc.; oversee compliance with staff CPR and AED training and certification

·      Train and monitor Ivy Hill Prep staff to ensure knowledge and adherence to all operational policies and procedures

·      Step in as a leader on ad hoc tasks and projects wherever necessary to build a strong school environment

·      Support scholars by providing supervision when needed and modeling Ivy Hill Prep’s approach to school culture**

Key Competencies & Qualifications

Skills and experience:

o  Leadership and management experience, including contracted vendor services

o  Experience working with budgets, accounting, and allocation of school resources

o  Excellent verbal and written communication skills

o  Communicates well with others and demonstrates strong interpersonal skills with students, parents, colleagues and community members

o  Extensive data management and reporting skills

o  Three to five years of experience in operations and finance preferred

o  School-based experience in NYC highly preferred

o  Minimum requirement of a bachelor’s degree, advanced degree preferred

Salary & Benefits

•        This position has a salary range of $90,000-110,000 annually, depending on experience

•        This is a year-round position with paid sick leave, holidays, and two weeks of vacation time

About the Hiring Process

Qualified candidates can expect to take part in a three-phase interview process. The first phase will include a 30-45 minute phone conversation to discuss your background and interest in the position. The second phase will include a 60-75 minute video interview. The final phase is a 60-90 minute in-person panel interview with select members of the school leadership team and the Head of School. Prior to this interview, candidates will be asked to complete a performance task (designed to take less than 2 hours). Throughout all phases of the process, we will ensure candidates feel valued and informed. Each interview will include ample time for questions from the candidate.
