Development Associate


JOB DESCRIPTION

 

Position Summary:

The Development Associate, reporting to the Vice President of Development, will focus on identifying donors for targeted appeals and cultivation by the VP of Development and Executive Director to enhance the individual donor program while additionally providing administrative support to the Development work of the Chapter.


Reports to: Vice President of Development 


Duties and Responsibilities include the following. Other duties may be assigned.


Primary Responsibilities

·        Track, assess and evaluate donor histories and develop plans for targeted fundraising initiatives.

·        Personal thank you calls to mid-level donors to identify opportunities for further engagement.

·        Develop, enhance and implement a lapsed donor program in partnership. 

·        Management of end of year campaign including planning, timelines, implementation, and follow up.

·        Respond to any and all donor requests and triage requests to the appropriate staff when necessary.

·        Conduct confidential research on prospective donors for the Executive Director, Vice President of Development and other chapter staff and identify major gift and planned gift prospects.

·        Oversee budgeting including tracking income and expenses for all annual giving functions.

·        Draft, prepare and process correspondences as well as donor stewardship and financial communications. 

·        Monitor best practices for donor acknowledgements, tax receipts, and other donor-related data hygiene criteria.

·        Manage accurate recording of new and existing pledges and establish new systems for issuing pledge reminders and recurring gift renewal.

·        Manage matching gift processing and donor acknowledgement of matching gift and workplace giving donations.

·        Work with National staff members to coordinate exchange of donations, the planned giving program, the direct mail campaign and major gift joint initiative.

·        Troubleshoot problems, improve overall processes, and ensure deadlines can be met even during periods of heavy gift volume.

·        Manage direct mail and planned giving programs in partnership with National.

·        Run weekly reports for the Development team to assist in fundraising efforts. Ensure that reports are both accurate and timely.


Administrative

·        Support for gift processing and acknowledgement process, especially during periods of heavy volume.

·        Provide support for data reporting and querying of the databases.

·        Process, track, report, and acknowledge gifts in an accurate and timely manner, in conjunction with database guidelines and processing.

·        Process and send acknowledgements for matching gift program, workplace giving program and auto donations program.

·        Respond to any and all donor requests and triage requests to the appropriate staff when necessary.

·        Draft, prepare and process correspondences as well as donor stewardship and financial communications. 

·        Provide general support to Executive Director and VP, Development such as filing, faxing mailings, expense reports, check requests, travel arrangements, etc.

·        Provide support to Executive Director as it pertains to Board communications such as calendar notices, Board meeting document preparation, scheduling, etc.

·        Provide accurate reporting of constituent contacts into Raisers Edge database.


Qualifications

·        Experience with Raiser's Edge and Luminate Online preferred.

·        Experience with ImportOmatic ideal.

·        Bachelor’s degree desirable; or two years related experience and/or training; or equivalent combination of education and experience.

·        Ability to work cross-functionally with Chapter staff, board of directors, high level volunteers, and donors.

·        Ability to write reports, business correspondence, and procedure manuals. 

·        Commitment to organization, attention to detail, highly efficient and conscientious about thorough follow-up.

·        Basic knowledge of donor services, tax receipt and acknowledgment production and process.

·        Demonstrated knowledge and understanding of relevant gift reporting and accounting requirements to ensure compliance with IRS and FASB regulations and industry standards.

·        Skilled communicator with superior interpersonal, verbal, and written skills.

·        Able to handle important information and maintain a high level of confidentiality.

·        Ability to work under and comply with continuous and multiple deadlines and evolving priorities. Manage multiple projects simultaneously.

·        Excellent organizational and writing skills as well as diligent attention to detail.

·        Must be available to work occasional weekends to attend special events and support the event staff.

·        Must be able to lift up to 25 lbs.

·        Qualified candidates must have the ability to successfully pass a background check.
