Description

OPERATIONS AND HR

  • Manage office;
  • Maintain and purchase equipment and supplies in a cost-effective manner;
  • Establish efficient office procedures and systems;
  • Maintain and update personnel policies and ensure that Plug In America is in full compliance with all HR requirements;
  • Oversee recruitment of new staff;
  • Serve as primary Plug In America liaison to vendors, banks, insurance companies, landlord, and benefit providers;
  • Support Plug In America’s contractors and vendors;
  • Ensure compliance with all contracts and grants;
  • Provide administrative support to remote Board members;
  • On-board new staff and board members;
  • Manage logistics for Board meetings;
  • Process and oversee payroll and disbursements; and
  • Provide assistance on other projects as needed.

ACCOUNTNG, BUDGETING AND FINANCIAL REPORTING

  • Implement and ensure the accuracy of accounts payable, invoicing/billing, collections, fixed asset records, general & entity accounting, and cost accounting;
  • Assist with contract and revenue tracking to ensure revenue booked in proper periods;
  • Examine contract documents to identify and interpret billing requirements;
  • Conduct invoice preparations within stringent time requirements;
  • Develop and manage effective working relationships with foundation, corporate and government funders;
  • Coordinate with program staff to ensure that financial and programmatic reporting to funders is completed properly for all contracts;
  • Assist with preparation of annual organizational budget, track and manage the budget and meet with the board finance committee as needed;
  • Implement and update financial policies, systems, and procedures;
  • Produce monthly and annual financial reports (income and expense, and balance sheet) on a timely basis; and
  • Manage the annual audit.

 

Qualifications: The following qualifications are required:

  • Bachelor’s degree in accounting, finance, business or a related field from an accredited college or university;
  • Ten years of related experience, including at least:
  • Five years of hands-on accounting, budgeting, and financial experience in a non-profit setting or transferable business experience;
  • Five years of experience with human resources;
  • Five years of experience managing office operations;
  • Extensive experience with QuickBooks online;
  • Strong written communication skills;
  • A passion for detail and ability to juggle numerous tasks simultaneously; and
  • U.S. citizen or legal resident with right to work in the U.S.;

The following qualifications are preferred:

·        Master’s degree in accounting, finance, business or a related field; and

·        Familiarity with electric cars.
