    Description

    The Human Resources (HR) Associate will be located in the LSNYC Central Office in Manhattan and reports directly to the HR Manager. The HR Associate is a key person in the Human Resources department and will be responsible for performing day-to-day HR-related duties, working closely with other HR team members, and Payroll in supporting the organization's overall mission. This role requires someone who enjoys collaborating with people in a fast-paced environment, advising employees and managers about employment issues, planning and developing, maintaining systems, and tracking tools.

    Essential Functions

    • Manage HRMS Database (Sage): Enter new hires, update employee records, running queries and reports.
    • Prepare orientation information and send information to new hires.
    • Manage bi-weekly onboarding: Confer with office personnel and new hires to gather and review required documentation; answer inquiries and create and update personnel folders.
    • Offer best practice recommendations:
      • Form I-9 – Advised on the correct completion of the form and due date.
      • New hire process – Introduced zip file attachment and new hire document checklist; update both documents, as needed.
      • Temporary employee tracking – Created a spreadsheet to track unpaid employees who perform temporary or volunteer assignments.
      • Created Sage tutorials for various processes.
    • Ensure I-9 compliance with the law by conducting periodic audits and modifying protocols for management.
    • Enter new hires in the commuter benefits website and remove terminated employees.
    • Send Sexual Harassment training information to new hires; assist with tracking.
    • Co-facilitate orientation (update presentation, as needed).
    • Coordinate offboarding and conduct exit interviews; store documents in the HR drive.
    • Work closely with Payroll to ensure employee updates are made in a timely manner.
    • Track demographic information of employees for compliant reporting for grantors.
    • Work with the HR team to ensure administrative HR practices are in line with the collective bargaining agreement.
    • Prepare employment verifications and complete Public Service Loan Applications.
    • Respond to employee inquiries and requests in a timely manner.
    • Assist with processing LRAP applications.
    • Assist with gathering documentation for audits.
    • Assist with regular analytical reporting requests by management and union members.
    • Co-supervise summer HR interns.
    • Distribute information to all staff regarding webinars, including calendar invitations.
    • Assist with Reasonable Accommodation process, as necessary.
