The program coordinator will primarily support HOPE’s leadership programs inclusive of The Binational Fellowship, The HOPE Leadership Institute (HLI), HOPE College Leadership Program (HCLP) and HOPE’s Youth Leadership Program.  They will also provide support as assigned to the conferences/ events. The Program Coordinator maintains and tracks HOPE’s evaluations and updates HOPE’s database updating key relationships to further the goals of all HOPE’s leadership programs.  They write the invitations for speakers, trainers and key stakeholders for all the leadership programs. They support the programs by coordinating the logistics for each of the trainings including participant communication. They schedule and organize meetings/events and maintain agendas. They ensure technology is used correctly for all operations (video conferencing, presentations etc.)  They track grant deliverables, create thank you letters and provide administrative support to all the leadership program staff. They support the implementation of HOPE’s relationship building strategy to ensure all participants of HOPE’s leadership programs remain engaged and are tracked for evaluation purposes. Supports with program recruitment efforts including maintain application portal, tracking applications and communicating with applicants.

Job Functions

  Leadership Programs administrative support and participant communication - 70% of their time.

 Grant and sponsor management / program evaluation tracking - 20% of their time.

Conference and events administrative support - 10% of their time.

Description of Duties/Tasks Required to Accomplish Essential Functions

HOPE Leadership Programs / Training:

·          Supports the training sessions for the all of HOPE’s leadership programs

·          Supports the recruitment of speakers by ensuring invitation, confirmation and thank you communication to trainers, speakers, sponsors, and participants is consistent, and timely.  

·      Tracks key information and evaluations on Salesforce regarding speakers, legislators and their staff, and all key contacts made that support HOPE’s programs.

·          Supports Alumnae outreach / relationship building plan and implements all the details and logistics of the plan. The plan includes communicating through e-newsletters, organize and facilitate continued education trainings for alumni. Supports the production of the HOPE Alumnae roster and alumnae relations. Works with the HOPE team to ensure successful donor asks of Leadership program participants.

·     Inputs and manages all the evaluations from the programs and creates reports

·          Maintains proper records of all training sessions on shared files

·          Helps complies program training materials

·          Supports with  grant proposals, tracks reports and completes key reports

  • Submits check requests with approved invoice on timely manner and verifies accuracy of vendors’ charges before submitting to accounting

·       Supports the coordination of   logistics for the programs: rooming, meals, travel, space requirements, Audio Video ·  Supports onsite trainings as assigned

Communications & Teamwork:

·          Communicate effectively and build relationships with multiple stakeholders including program participants, alumnae, sponsors, and board members, elected officials and community leaders by phone, e-mail, Enewsletters, website, at conferences, in person and through presentations ·   Maintains and organizes program software/portals/communications platforms including websites, newsletters and recruitment/application platform

·          Foster teamwork in daily interactions with vendors, stakeholders and internally with colleagues

·   Supports with tracking programs budgets; and develops key tracking of program expenses and maintains records  to the highest standard

·         Participate in the successful completion of HOPE’s other activities and programs as assigned

·          Completes all additional projects as assigned

Experience

This is an entry level position, limited work experience in program implementation and background in event coordination and community relations, or government affairs. Good grasp of technology and experience working with survey monkey, salesforce, and excel.

Education: BA degree communication, business, political science or equivalent work experience

Certification(s)/License(s):  Valid driver’s license and insurance

Technical Skills:

Software: Microsoft Office. Knowledge of HTML, WordPress, Client Management Systems (Salesforce), Zoom and asana is a added value.

Fluent Spanish Speaker is also an added value.

Work Environment: HOPE is a fast pace and collaborative work environment. HOPE in October, 2021 will experiment with a hybrid work from home and HOPE Los Angeles Office. Staff will be expected to be in the office on Wednesday and Thursday and work from home Friday, Monday and Wednesday.

Training/Knowledge: Experience working the Latino/a community preferred. Some facilitation skills.
