Overview

The Equitable Food Initiative (EFI) is a multi-stakeholder workforce development and certification scheme seeking to improve the lives of farmworkers and create value across the produce supply chain. EFI’s key innovation has been to demonstrate that motivated, trained, and incentivized farmworkers can address retailer, civil society, government, and consumer concerns about working conditions, pesticide use, and food safety in the produce industry. As EFI grows, we seek an Operations/Data Associate to provide administrative support for our dynamic team. The right individual will be flexible and have strong administrative and organizational skills.

 Background:

Under the direct supervision of the Director of Finance & Operations, this position provides administrative support for the Operations Department as well as the Data and Certification departments. In addition to typing, filing and scheduling, this position performs duties such as data entry into QuickBooks, SalesForce and FoodLogiQ as well as coordination of meetings and conferences, supply management, coordinating direct mailings, and working on special projects. This position may be privy to highly confidential and sensitive information. Independent judgment is required to plan, prioritize and organize diversified workload.

Job Responsibilities

1.   General Operations Support 50%

  •   Liaise with management, staff and others in a professional manner that appropriately represents EFI
  • Sort and distribute mail in hard copy and electronic format.
  • Draft written responses or replies by phone or e-mail when necessary.
  • Respond to regularly occurring requests for information.
  •  In coordination with management, assist in scheduling meetings and preparing meeting materials for both in person and remote meetings.
  • Type and design general correspondence, memos, charts, tables, graphs, etc.
  •  Assist in managing the EFI’s contracts, check requests and personnel files
  • Process bi-weekly payroll data and prepare for import into Quickbooks
  • Process monthly Credit Card/Expense Reports and prepare for import into Quickbooks
  • Maintain setup of new project codes in TriNet and other relational databases, check request forms and other formats.
  • Manage and maintain EFI subscriptions, memberships and office equipment/software inventory
  • Support management in assisting staff with IT needs/requests

2.   Data and Certification Support: 50%

  • Data entry into FoodLogiQ and Salesforce
  • Data hygiene of Grower Mapping, Audit Reports and other datasets within FoodLogiQ and Salesforce
  • Design, edit, and produce auditor and worker-facing informational materials to support convenings, trainings, and on-farm programs
  • Maintain Google Farm Map and Google Audit Calendar
  •  Communicate directly with certification bodies and other external parties regarding information management
  • Support data input, translation and communication with partners and clients in Spanish if applicable
