The Marketing and Ops Coordinator collaborates cross-departmentally to aid in the execution of various tasks. The candidate reports directly to the Director of People and Operations, and works with an organized, deliberate mindset to get things done. They are responsible for a variety of projects and initiatives, and approaches their work through strategic thinking and problem-solving. By showing initiative and meeting deadlines, the Marketing and Ops Coordinator creates a sense of order and structure within the work they do.Job Description

Operations

Serve as site operational support for all departments, addressing tasks in a systematic method. ​

  • Assist with on-boarding and off-boarding for all AmeriCorps Members (ACMs).
  • Serve as Site Uniform Point: oversee all uniform distribution and concerns
  • Serve as IT liaison and site administrator of all digital hardware and maintain good operations of office equipment (computers, printers, telephones, cellular phones, voice mail).
  • Serve as the lead for grant operations including: maintaining the fundraising grants calendar; seeking out new leads on grant opportunities, etc.
  • Maintain facilities for 800 W Markham
  • Purchase and distribute supplies

Marketing

  • Responsible for all social media content, meetings standards and policies of City Year
  • Write and produce monthly e-newsletter
  • Create and edit collateral

Database & Reporting

Support Development departments through maintenance of databases and updated reporting.

  • Utilize Salesforce database to maintain donor and relationship records
  • Support implementation of the donor acknowledgment strategy

Finance & Purchasing

Serve as site contact for requests/needs involving finance operations and purchasing.

  • Donation processing
  • Expense tracking
  • Processing of all accounts payable and receivable requests while maintaining accurate documentation.
  • Maintain good relationships with all vendors, assuring best values.
  • Assist with purchasing and records

Events

Assist with event planning and logistics.

  • Can include program events, retreats, trainings, etc.
  • Provide support to the annual gala and other fundraising events.

Staff Collaboration

Basic Qualifications

  • BA/BS degree or equivalent work experience.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills and an acute attention to detail and accuracy.
  • Demonstrated self-motivation and initiative.
  • Willingness to work under pressure and in high-demand situations.
  • Ability to multi-task and prioritize requests from multiple members of the team.
  • Strong interpersonal and communication skills, both written and verbal.
  • Excellent skills in Excel.
  • Proven ability to work with individuals with diverse backgrounds, interests, and skills.
  • Commitment to helping a highly successful organization implement systems and structures to support significant growth.
  • Ability to occasionally work outside of regular office hours.

Preferred Skills

  • Versed in Salesforce database and report creation through the system.
  • Deep understanding of City Year’s mission and the national service movement.
  • AmeriCorps/City Year alumni are encouraged to apply.

Salary

$32,000 - $37,000

Benefits

Full time employees will be eligible for all benefits including vacation and sick days and organization holidays. You may participate in all benefit programs that City Year establishes and makes available to eligible employees, under (and subject to all provisions of) the plan documents that govern those programs.
