THE ORGANIZATION

Tanenbaum promotes justice and builds respect for religious difference by transforming individuals and institutions to reduce prejudice, hatred, and violence.

As a secular and non-sectarian non-profit, Tanenbaum works to promote religious peacebuilders who help counter extremism and violence in armed conflicts, and tackles religious bullying of students, harassment in workplaces, and disparate health treatment for people based on their beliefs.

JOB RESPONSIBILITIES

The Assistant Director of Finance & Operations reports to the CEO and manages a full-time Finance & Operations Associate. The Assistant Director of Finance & Operations must understand and support the organization’s mission, vision, values and principles, and be able to clearly articulate the organization’s function. Respect for confidential information is essential.

Financial Management:

  • Draft organization’s annual budget; generate and deliver two budget forecasts annually
  • Bookkeeping responsibilities for accounts receivable and accounts payable as coordinated with outside accounting consultant
  • Manage vendor relationships, bill payments, and petty cash
  • Manage audit fieldwork with outside auditors and accounting consultants
  • Manage tax-related issues with outside auditors
  • Manage grant-restricted and donor restricted monies and subsequent releases with Development department
  • Track all pledges, donations, and other income with Development department
  • Work with Development department to generate gift receipts for donations
  • Reconcile all donations with Development department
  • Manage and implement all invoicing, collections, and payment processing
  • Create materials for and staff the Board of Directors’ Finance/Audit and Investment Committees
  • Act as main point of contact for finance-related questions from Board of Directors
  • Stay abreast of developments in tax and financial law

Human Resources:

  • Update payroll records, coordinate with payroll provider, track all payroll details, and prepare and submit payroll on a semi-monthly basis
  • Supervise management and maintenance of  all human resource files
  •  Oversee hiring, onboarding, and termination processes
  • Administer and manage employee benefits, including health insurance, life insurance, workers’ compensation, disability, commuter benefit, flexible spending account, and unemployment
  • Follow changing federal, state, and city laws and maintain legal compliance
  • Supervise management of staff development program of in-house trainings and seminars
  • Supervise the staff performance review schedule
  • Manage staff meetings and celebrations
  • Manage internal staff suggestions and grievances
  • Staff the Board of Directors’ Compensation Committee

Technology:

  • Manage information technology with outside technology consultants to ensure that all computer systems are functioning properly, information is secure and backed up, and staff computer needs are being met
  • Ensure hardware and software systems are in place and working
  • Research broad institutional technological needs and update as needed, including moving to Cloud-based or enterprise software
  • Update organization leadership on technology trends
  • Ensure that internet and phone systems are functioning efficiently
  • Coordinate general repairs and maintenance of equipment

Facilities:

  • Manage daily maintenance of the facility, including repairs and improvements
  • Manage institutional archives
  • Liaise with the building management as needed
  • Order supplies and coordinate the purchase of equipment as needed
  • Maintain common office areas, including conference rooms, kitchen, and supply areas
  • Manage the review, negotiating, processing, and implementation of vendor contracts
  • Maintain all vendor files, contracts, and general office files
  • Review and update administrative and operational procedures

QUALIFICATIONS AND EXPECTATIONS

  • Commitment to the mission and goals of Tanenbaum
  • Demonstrated acumen in business management, public administration, accounting, or finance required
  • Knowledge of nonprofit accounting practices
  • Three to five years of experience in bookkeeping, budgets, forecasting, accounting, operations, administration, and/or human resources
  • Experience with Intacct, Bill.com, and/or Tallie financial tools a plus
  • Ability to analyze and synthesize data and present it clearly
  • Excellent interpersonal, written, and verbal communication
  • Strong organizational and time management skills
  • Detail oriented and precise work products
  • Two to four years of supervisory and/or staff management experience
  • Creative problem-solver able to anticipate and solve problems independently, and follow through on projects to completion
  • Strong computer, technology and troubleshooting skills
  • Represent Tanenbaum in a professional manner at all times
  • Sense of humor
