Operations Manager

This role supports site vision and successful execution to results. Reporting to Director of People and Operations, the Operations Manager is responsible for the day-to-day management of site operations and financial and Information Technology needs. The focus of the role is oversight and management of key site processes and national organizational standards that drive site operatives. The Operations Manager works in collaboration with site leadership and staff to further City Year Tulsa's mission and service.

Responsibilities

Site Operations

• Develop and maintain the office as a civic engagement center. Maintain good operations of all office equipment (e.g., computers, printers, etc.), supplies and vendor relationships.  
• Develop and maintain a comprehensive operations resource to promote awareness of staff roles/responsibilities and operational protocols; leverage the organization’s intranet SharePoint page to communicate resources. 
• Manage office supply orders for the site and create systems to improve the use of space and encourage accessibility to materials; maintain and replenish inventory as needed. 
• Support staff and corps members by creating and maintaining resources to guide their work and service. 
• Understand City Year policies and procedures necessary to ensure appropriate decision-making protocols are followed. 
• Support AmeriCorps member recruitment, registration, and onboarding. Provide customer service to AmeriCorps members as needed. Assist with event planning and logistics for program events, retreats, and training.  
• Serve as a resource to staff and AmeriCorps members regarding insurance, benefits, and payroll questions. 
• Assure the prompt and proper distribution of uniform parts to corps and staff.  

Site Finances

• Ensure timely processing of all accounts payable and receivable requests while maintaining accurate documentation.  
• Work closely with the National Finance team in tracking and reporting expenses.  
• Work to ensure the site is getting maximum value for all purchases and contracts and will be responsible for submitting the monthly site financial documents to City Year's National Headquarters.  
• Manage purchasing card for purchases that cannot be made by check.  

Technical and Web Application Support 

• Serve as site administrator of all computer hardware.  
• Serve as secondary source of support on all computer applications.  
• Work with the National information technology staff to assure high quality of customer service to users.  

Involvement in Organizational/Site Initiatives  

• Partner with City Year Tulsa departments and staff through recruitment initiatives, applicant interview process, stakeholder engagement, service day and event participation and cross-departmental committees as needed to ensure site-wide goals are met. 
• Attend whole site events like Opening Day, MLK Day, Women’s Leadership Luncheon, Graduation, Basic Training Academy, and other site-wide designated events. 

Qualifications

• Bachelors' degree or equivalent experience.
