Executive Assistant, Programming and External Relations

Cambridge, MA

 

The Center for Effective Philanthropy (CEP) seeks an exceptionally organized, detail-oriented, and enthusiastic administrative professional to support our Programming and External Relations team’s administrative and operational functions. Reporting to the vice president of programming and external relations, this role will provide administrative support while also coordinating several operational initiatives to execute the department’s vital work.

Key Responsibilities

  • Playing a major role with CEP’s communications and marketing efforts. This includes managing and tracking our analytics (web, marketing, and press metrics, etc.), assisting with large- and small-scale mailings, and using hosted software to manage marketing efforts
  • Actively supporting the team in event planning, including the execution of CEP’s biennial conference and programs
  • Supporting CEP’s fundraising efforts by drafting grant proposals and reports and by tracking philanthropic requests, pledges, and contributions

·        Maintaining CEP’s mailing lists and contact database, which includes conducting Internet research to update databases and performing detailed quality control on a regular basis

·        Learning and growing in use of and responsibility for Salesforce, Hubspot, and WordPress for the organization

  • Actively contributing to team discussions, collaborating on cross-team projects, and helping develop CEP’s internal knowledge base and operations

·        Scheduling and coordinating calls and meetings with external parties and internal staff

  • Managing the creation and tracking of Letters of Agreement, speaking engagements, and other contractual commitments

 

Requirements

·        A Bachelor’s degree is required. 

·        2 to 5+ years of full-time work experience required; at least three years of full-time, directly relevant administrative experience will be strongly preferred; strong computer/technical skills; demonstrated proficiency in Microsoft Word, Excel, Powerpoint, and Outlook; familiarity with Salesforce, Wordpress, and Hubspot a big plus.

·        Outstanding communication skills. Strong writing ability with a keen attention to detail.

·        Strong database management and account reconciliation skills.
