“Administrative Coordinator”


The American Federation of Arts (AFA) is the leader in traveling exhibitions internationally. A nonprofit organization founded in 1909, the AFA is dedicated to enriching the public’s experience and understanding of the visual arts through organizing and touring art exhibitions for presentation in museums around the world, publishing exhibition catalogues featuring important scholarly research, and developing educational programs.



General Duties and Responsibilities:

·        Assist with administrative tasks for all departments including: editing, mailings, file maintenance, catering, supply orders and preparations for meetings and events

·        Oversee reception area including greeting guests, answering and directing incoming phone calls, distributing and posting mail

·        Manage office and kitchen supply inventories and place orders as needed

·        Liaise between building maintenance staff and floor for office repairs

· Liaise between staff and IT and Communications vendors to maintain printers and computers

·        Provide back-up administrative assistance to Director and Associate Director for Finance and CFO as needed

·        Other administrative tasks as assigned

Qualifications:

  • Undergraduate degree in relevant field
  • Minimum 2 years of administrative experience in an office or museum environment
  • Strong Excel skills and Proficiency with computers including Microsoft Office Suite
  • Efficiency with QuickBooks a plus
  • Excellent and professional phone manner and appearance
  • Strong communication and interpersonal skills
  • Ability to handle multiple tasks, attention to detail
  • Willingness to work with multiple departments on various projects
  • Sense of Humor
