The Advent School, a progressive independent elementary school in downtown Boston, seeks candidates for an Administrative Coordinator position.

This is a full time administrative position, divided into morning and afternoon roles. The morning (7:45a.m. – 12:00 p.m.) role focuses on receptionist duties, and the afternoon (12:00 – 4:00 p.m.) role focuses on providing administrative support to the Office of Advancement and the Dean of Student Services. Some evening and weekend hours are required.


  • Serve as a welcoming presence to children, parents, faculty, staff, and visitors
  • Serve as the administrative lead for daily drop off procedures
  • Answer main phone line and perform general administrative duties
  • Sort mail, maintain copy machine and postage meter supplies, coordinate mailings, create class lists, order supplies, and update phone listings
  • Provide clerical and administrative support to the Dean of Student Services (scheduling tutoring and parent academic meetings) and the Director of Advancement (gift processing, gift acknowledgement letters, mailing labels)

Health, Wellness, and Safety

  • Serve as lead liaison for student health management between School and families
  • Serve as member of the Emergency Preparedness Committee
  • Serve as a lead in safety procedures and protocols
  • Maintain all visitor log in and front desk support
  • Work in coordination with Enrichment Administrative Coordinator to provide data and support for Boston Public School bus transportation, drop off, and dismissal procedures

Data Services

  • Record student attendance and maintain accurate family, faculty, and staff information in the administrative database
  • Maintain accurate health and wellness data for documentation purposes, and local and national surveys
  • Serve as a lead coordinator of the School’s student database by maintaining student information records
  • In support of the Office of Advancement, process gifts and acknowledgement letters in Raiser’s Edge


  • Work in conjunction with Enrichment Administrative Coordinator to transition to after-school program; provide support for after-school scheduling, data and transportation
  • Serve as an administrative team member, including duties such as lunch coverage and dismissal coverage


  • Comfortable interacting with elementary school-aged children
  • Strong written and verbal communication skills
  • Be willing to take required training in order to be able to administer medication (e.g. EpiPens)
  • Ability to work effectively in an atmosphere of multiple projects, shifting priorities, and deadline pressure
  • Ability to communicate, advise, and persuade on matters that are highly complex and sensitive in nature
  • Prior experience in teaching and/or educational setting experience preferred
